Viewing Multiple Records in One Record

  • 1.  Viewing Multiple Records in One Record

    Hey everyone,

I created a form with five different tabs and depending on the parent record, it will display one of the five tabs when someone fills out the form. Eventually, they will create five records after filling out each tab as a single record.

Is it possible to view different, related records in one record? Or should I change the way I'm having the users fill out the form?

I appreciate any ideas on how to handle this.

When you say "view different, related records in one record" are talking about records in a table to table relationship? If not, how are the records related?

The records are related by a table to table relationship.

OK. Take a look at this post and see if this is what you have in mind:

It is not what I'm envisioning. I'm looking for a view of 5 tabs or the like to pull in data from the different records.  Not sure if that makes sense or if it's feasible.

So are you asking if it is possible to view a form within a form.  It's an unusual thing to want, but in theory it is possible to do.  Does the Record you are on know the Record ID#s of the 5 records?

Yes, a form within a form I suppose. Is that complicated to do?

It does not know the record ID#s of the 5 records, just a related record ID# from a table to table relationship -- the ID of parent table record.

I hesitate to walk you down that path.  It's possible but it uses advanced techniques and it's really not a normal thing to try to do in Quick Base.

If it's very important to you and you have a small budget, then contact me directly and I can demo to you what it looks like an you can decide if you have any budget for me to get this working with you on a Go To Meeting session

Kirk Trachy's magic buttons app shows this technique.

It would even be helpful for you to post a hand drawn sketch of what you would like to achieve using your field names and commenting where the fields are related.

    Uchenna,

What are your business objects and how are they related?   Are the child records all different so your intention is organizing disparate things or are they the same object but with a different status?  Or something entirely different?

Here is an ERD of the two scenarios

In the first case your Customer record has five tabs.  In each tab is an embedded report from the five different tables.

In the second case your Customer record has five tabs but they are the five different values of Project Status.  For this one you have to make five different Embedded Reports in the Projects table filtering on the current status of the Project.    Once a Project goes from New to Assigned, it would automatically change tabs in the Customers form.

If your architecture does not look like either of these.  Please draw it out and post.

You can create lookup fields to pull the information form the parent record to the child records. I am not aware of a way to use record data from fields to populate the tab title, but you can use dynamic form rules to show/hide tabs based on given criteria.

@Mark Shnier (Your Quickbase Coach) I'm looking to see if this could be done rather easily for maintainability sake but doesn't seem like it could be. This really is a nice to have.

    Uchenna,

If I am following you correctly and Adam is right that you are trying to change the labeling of the form tabs from the data in the child records, Quick Base does not have the ability to do this.

If you are only concerned about the presentation layer then I suggest you look at using a BI tool.   There is a free level for MicroSoft Power BI and a Quick Base connector.

    https://help.quickbase.com/user-assistance/power_bi_with_quick_base.html

I am sure you  can build a report that will meet your needs.  However that is a read only solution and not going to be helpful for workflows.
