Integration FailSafe Ideas

    Hi Everyone,

I'm currently using an integration tool (Tray.io) to connect HubSpot with QB. Long story short this integration is working to create/update/delete a matching record in QB whenever something major changes on the HubSpot record (deal). Because of HubSpot limitations, I am forced to trigger the webhook off of a few different events (in HubSpot). Once in a while these two events trigger so close to one another that the creation or updating of a file in QB hasn't completed by the time the secondary webhook triggers. Issue: This ends up creating 2 records when there only should be one.

Looking for ideas on how to mitigate this or at least quarantine these duplicate records. My first thought is to figure out how to set up an automation in QB that when 2 records has the same value for field X (HubSpot Deal ID) then check a checkbox field for 'Manual Review' and filter any of those into another report.

Has anyone had an similar experiences or dealt with cleaning out duplicate records?

    Thank You!
    Chris

Te only way to currently detect duplicates is to make a table of unique Hubspot Deal IDs.
Then you can make a relationship and make a summary field for the # of children to flag where there is more than one child record..

... so you need to have an Automation to to create these Unique Hubspot Deal Ids when a record is created and there Parent record does not yet exists.

Thanks, Mark! So it sounds like we'd still have to manually delete those duplicates, yeah?

Well once you have that set up, I'm sure that they could be deleted automatically at least each night.

These records have a parent and therefore they know they are part of a group where there is more than one sibling.  There can be a relationship to look up which record is the minimum record ID for that parent. Presumably which ever one got their first gets to stay. So you could have an automation delete records where these children records have  at least one sibling but they are on record ID is not the one with the minimum record ID.
