Dynamic Form Rules with Related User

  • 1.  Dynamic Form Rules with Related User

    Trying to use a dynamic form rule to change a related user. However, when I select 'change to value in the field'...it's looking for a numeric field. I suppose it wants to match the Record ID. I'm trying to be able to select another user field and match the name instead. What is the work around I am missing?

    Can you explain?  What is the source for that other field?  Is it from the same table of Users?

    End goal is I need to pull over a phone number for a user. So currently I have this setup:
    Two tables: Employees, Pay App. Parent table is employees, child is Pay App.

    Employee Table includes Fields: User, Phone Number.
    Pay App Table include Field: Related Employee, Employee Phone Number (this is just a lookup field), Project Manager (this is a user field, and is a lookup field from a third table).

    I want to be able to set the related employee to the project manager. I was attempting to do this with a dynamic rule. So I tried as my action 'change' 'related employee' to the value in the field 'Project Manager'. This doesn't work because it is looking not at the user names, but the Record ID's..

    What is is the data source for the Project Manager.  Is it just a text multiple choice field?

    It's a lookup field. The original field is a user field (inherently multiple choice).

    So on a third table named 'Projects' there is a user field for the PM. Projects is Parent to Pay Apps.

    It just dawned on me I'm doing it fundamentally wrong. I think I need to link my Projects table to my Employees Table (which I am going to rename Project Managers). Then instead of selecting the PM from a user dropdown, it will be selected as the Related Project Manager.

    So if I replace my current Project Manager field, with this new related one....is there any way to replace all instances of my original field? Meaning, I use that original field in a lot of reports, etc. Do I have to manually change everywhere?

    You can line up the two fields side by side in Grid Edit to get them to match.  The for the old field, you can change it to a formula field to with a slight difference in the name between the two like
    [Project Manager]
    [Project Manager.]

    The formula would be just be
    [Project Manager] - ie a mirror field.
