Table e‑mail notification not sending e-mail

I have an e‑mail notification that I can't get to work and I after a lot of testing and searching I am still unable to figure out why it isn't working.

I have a "Projects" table. 
One of the fields is "Approvers" which is a lookup to a "Project Approvers" table.  I had earlier tried using a user-type field, but had the same issues.  The Project Approvers table uses a single-select user field as the key field.

Other notifications DO work. 

The notification owner has access to the application and table (it has an admin role and access to everything)

The e‑mail notification settings are:

Permission type: Recipient  (I also test with open pulling from the e‑mail lookup field of the Approver table, either way, doesn't work). 

Notification Name: Send Approval Request
Notify Whom: The user in the field: Related Project Approver
Notify When: a Project is modified or added AND when
  • Any of the following fields change: Related Project Approver
Message Type: Custom message
Subject: Request to approve project: [Project Reference]
Custom Message: I inserted the Action Link Example and changed the button to [Project Approver Accept Button], which is a button on the form that logs the approval in text field.
Data Form: Default
Message Format: HTML
When field is blank, insert the word "empty": Yes
Advanced:
Operations: Only when single mission records change  (I also tested with "For either type of change" but it made no difference)
From address: The user listed in the field "Requesting staff member".  (I also tested with notify@quickbase.com, but it made no difference.

    If you look at the list of notifications, is the green checkbox enabled? Is the notification active?

      Yes. Under the tables Settings/Notifications, subscriptions & reminders it is listed, has a green check in the "Active" column, the user listed under "Owner" is in the admin role with full access to the app and table.  Nothing is in red.

        It's very rare but I have seen these things fail. You could try rebuilding the notification from scratch. If that does not fix the problem then either QuickBase support will have to have a look at it or if you want I don't mind having a look at it. If you want that contact me directly by the email in my signature line.

  • When you said your notification wasn't working, which aspect of it wasn't working? Did you mean it wasn't sending the notification at all?

    I have an issue where I have a table called Production Tasks and when the task is changed to Pending Review, a new record is added in the Legal Review table. A notification is then triggered to the Legal Review team to let them know a new review has been added. I have my settings so that the Production Editor (user) is the "From" Address on the notification. Yet every time, I receive a notice that the notification was sent out in my name:

    Quickbase sent the following email out in your name because the user who is listed in the field for the From Address (Task - Team Member - User) in Legal Review #445 is not allowed to access the table: Legal Reviews.

    The Production role has full access to the Legal Review table and is able to add new records. There are only 3 fields they don't have access to which are URL Formula Buttons just for Legal team members. The table itself is hidden in their table bar but I don't see why that would matter. 

    I checked my subject line for any formula fields, but there are none. I'm just wondering if you had the same issue where the "from" wasn't working, or if it was your notification not working/sending at all.

      In my case the notification was not working at all.  

      In your case I'm not sure why you would have that issue.   In my notification, under advanced options, for "From address" I have selected "The user listed in the field" and then "Requesting Staff Member", which is a user field.  

      The e‑mails correctly appear to be coming from that staff member.   

      I have some fields that are hidden from the Requesting Staff Member but do not have permissions set to deny access to those fields in the field properties themselves.
