If the Related fields in the child tables are user fields, will they recognize each other? ------------------------------ David Pontier ------------------------------ Using User Fields in Connected tables We have many apps that use employee tables, and every time we have a new hire or someone changes departments, we need to update all of these tables. So we created a master table and connected it to all the other apps. However, when I bring in the user email field, it comes in as a text field instead of a user field. When I try to change it to a user field, it gives me an error. I want to make this the Key field in the employee table, but I can't figure out how to make it let me. I have used User fields as Key fields in other non-connected tables, and it is excellent for employee-to-employee relationships, so I know it is possible, but I can't make it work in a connected table. I feel very competent with automations and feel they can be used to do just about anything. ------------------------------ David Pontier ------------------------------ Re: Hoping to learn moreRight now there doesn't seem to be any way to transfer file attachments from Salesforce to QB. The connected data link isn't working right either, so we have to do a manual dump to excel and then load it back in. There are also imbedded tables in Salesforce that we can't access for the transfer. We can duplicate them in QB no problem, but we will lose historical data. Also, there are multiline text fields in SF, that when we export and import back in turn into a block of text with no line breaks. Most of what will happen in the change will be positive, but we anticipate a few people in the sales department being upset about losing some of the history or having to use two systems to retrieve old attachments until we get far enough along in QB. Also, we plan to keep one SF license for at least a year so we can access a lot of the historical data and that will probably cost us a fortune. I found a solution. You need to create two temporary text fields. The first is a multi-select text field field in your parent table that has the same choices as your certification list. The second is just a regular text field. When you add a new report, set the first multi-select temporary field equal to the new certification. You can do this through an automation or code it in the button you use to save the report or return to the parent table. When you do this you over right the old value that was in that field instead of adding to the multi-select. Which is why we had this problem in the first place. Then create an automation that triggers every time this first temporary field changes. Also include in the trigger that Main multi-select field that you want to updated dose not contain the value in the temporary field. Multi-select fields can only be compared to other multi-select fields which is why this first temporary field has to be multi-select. This check will prevent the automation from running if the certification already exists in the main multi-select field. Then for the action choose to modify the second text field. Choose the selection to both type and copy data. This option is not available for Multi-select fields otherwise you wouldn't need this intermediate step. First select your first temporary field, then type a semi colon and then select your main multi-select field. This will create your new full list in the text field. Then you need a second automation that runs every time your second temp text field changes. Basically the first automation will trigger the second one. For the action of this automation you want to set your Main multi-select field equal to the second temp text field. I tried to combine these two actions in the same automation, but because QB tracks the old and new values, it doesn't recognize the new value of the second text field until after the whole automation is completed. I first made sure the new field was a copy of the record ID (for now) and then changed the Key field. QB gave me a bunch of warnings before I did it, but I practiced in a copy of the app first. Afterwards, all of the links worked, but where before I could select a new customer for a project from a reference field (customer name) now it says that field can not be edited. I can work around this by changing the Customer Name field to the Related Customer and proxying the Customer name, but I would rather like to fix the relationship, if possible. Need to get data from one table into another with no connectivityI have a vacation App. I have 3 tables: Employees, Managers, Vacation Requests. Everyone in the company is listed in the employee table. All of the managers are listed in the manager's table. Each manager has several employees, but never themselves as you can't be your own manager. Right now I am using the brand new Text summary field to combine all of a manager's employees into one text field. I then pass that field back to the employees. This is basically a list of their co-workers who all share the same manager. Then when the employee creates a new Vacation request, I create a snapshot of that text field in the new vacation request. This allows all of the co-workers to see each other's vacation schedule. If their name is contained in that list, they can see it without having to be able to see that employee's employee record as it may contain private information. Now I have been asked to allow employees to see the vacation schedules of their manager. This is proving to be way more difficult than I thought it would. What I need to do is get a list of a manager's employees in his employee record, so that when he creates a new vacation request he can pass a snapshot of his employees (as well as his co-workers) to that request so everyone on the list can see it. But that list is in the manager table and since you can't be your own manager, the two records aren't linked. The two records to have the same user and the same name, but I can't find a way to use that similarity to merge the two. The Merge field can't be a user or a formula field. If it were just a one time update, I could do it manually, but as people get hired, promoted, or change managers, the lists will need to be updated.
