I have a purchase order table.  As I need to select either a surveyor or drafter before creating a PO, I need to be able to populate relevant vendor number.  Currently I have a field with multi choice for surveyor and drafter. But no too sure where to keep vendor numbers matching surveyors. Is there an easy way that my vendor field is auto populated without creating one more table.  But if I do need to add a  table, what is the process to match up a field in PO table with vendor number.  Should i keep surveyor or vendor in the other table to facilitate drop downs? Will appreciate some help.

I suggest he following.

On the PO have a multiple choice field shoeing as radio buttons on the firm. Just the two choices of Surveyer and Drafter.

Have a single table of Surveyors and Drafters and have a required field on each record be what they are.

Then on the field [Related Surveyor /Drafter] use the Condionsl drop down feature to only offer choices where the field in the table for Surveyor / Drafter matches the choice having been selected on the radio button.

Thanks Mark.  Just to be clear, in my existing PO table, create a  radio button to select whether drafter or surveyor. Should I create two more fields to capture the right business (surveyor or drafter) and the vendor number in this table?

Then create a resource table with three fields, resource type (drafter/surveyor), Resource name, vendor number. Relate this field to PO field one to many. Then using the related resource field, make it conditional to show drop downs in the PO field matching the radio button? Never done this bit so will try.

Did I get this right?
It's just a normal relationship. One Vendor has Many Purchase Orders. It just that the Vendors will be identified as their type, and so first you choose the type in the Purchase Order, and having set the Related Vendor to be conditional in Type, you will see either only Surveyors or Drafters on the drop down list of choices.

There is no magic to the radio button format in a firm.  I just think for a short list of two choices, make it required and it will have a nice clean look on the form.

OK thanks.  Given that I have a lot of tables already, perhaps best is to just show the vendor number with the name of the resource.
Yes, the Vendor name and number would be fields in the Vendor table.
