Implementation Tasks

This is the master task list which will have 1-to-many relationship with other tasks.

                Key Fields:          Link Task ID

Task Status (Drop Down – One of the values “Completed”)

                                                Task End Date

Release Management Task

This task list contains application deployment activities. This table will have many-to-1 relationship to Implementation Task

                Key Fields:          Link Task ID

Task Status (Drop Down – One of the values “Completed”)

                                                Task End Date

1.       Implementation Tasks – If master task’s status “In Progress”, should trigger notification to that task’s owner and for any sub-tasks’s owner(s).

2.       If all sub-tasks under a linked master task ID have status “Completed”, send notification to master task owner and update master task to “Completed”.

Appreciate team's help to get solution to the above problem of mine.

Implementation Tasks – If master task’s status “In Progress”, should trigger notification to that task’s owner and for any sub-tasks’s owner(s).

You can easily create a Notification to the Implementation Task owner when the status is changed and after the cord is saved the status is equal to In Progress.  However, triggering a Notification to say 100 sub task owners, (presumably you mean Release Management Tasks) is not possible natively, without some scripting.

2.       If all sub-tasks under a linked master task ID have status “Completed”, send notification to master task owner and update master task to “Completed”.

To do this you would change the final Status to be a formula field.  It would set itself to the value of Completed, by formula if the # of Release Management Tasks is equal to the # of Completed Release Management Tasks.  So you will need to create 2 new summary fields to use in that formula.  You will probably want to have a formula which first checks for that condition, and then if false, reverts back to the value in the original manual field you have now.

For example

IF(
[# completed tasks] = [# tasks], "Completed", [my manual Implementation Status field])
