Hello,

We need to extract individual records so that they match the form we have created in QuickBase.

I know when we are in a record, we can "Print" and then pdf the document so it appears as the form. However, this can be laborious in situations when we need to do this for 50-100 forms each month.

We have already built reports which basically extract the fields as well, but having the information in an excel is not as helpful to specific people who need to see the information.

Is there a way to built a report, and then somehow extract (pdf) all records which fall in that report so that they look like the form in QuickBase?

(I hope that makes sense!)

Yes, you can do this but with a caveat.
When you print any report there's an option that is always presented to you but your eyes don't really see it because it's a routine. It asked you whether you want to print a report or print the records individually.

If you select to print the records individually they will print individually and if you have a PDF writer installed on your computer or even a free one like cute PDF or PDF 99 then you can print to PDF.

Yet however is that I have found in my experience that if you print a large number of pages say more than about 20 or 30?? Then the screen totally hangs and never completes.

Our Exact Forms Plus add-on can do this. It will create a pdf for each record in the report and it will also merge them all into a single pdf file so you can print them all out at one time.

From Demo App Dashboard scroll down to the 3rd section and click one of the 2 buttons

Can you please let me know when I am given the option to "print the records individually"?  When I attempt to print a report, it takes me to a screen and asked "Include report description" (always seems to be greyed out), "include filtering criteria", and "include date".  I'm not sure where I may be missing the option to print the records individually.

Please disregard the comment above.  I see that you have to be using a "Table" report, as I was trying it using a "Summary" report.  Thank you.

I'm using the Exact Forms Plus product now, extensively for many clients, but just for the first time recently used it to generate a single large PDF with many records.  It worked very nicely.  Speak to the Juiced folks about the 50 record limit as I believe they do their processing differently if you expect to have more than 50 records. Keith and Todd Jusas are great to work with.
