I have a document library of letters and brochures. In the library I have a drop down list field to choose the brochure that can be sent with the letter. I need a formula

I need a formula field where the user can choose the brochure name from the drop down list and it results in the link to the brochure pdf.

Try making this formula on the Parent brochure record and look it up to the child.

Field type is formula text with html enabled.



“<img src=”&URLRoot() & “up/” & Dbid () &”/a/r” & [Record ID#] & “/e22/v0&#8243;&” height=\”100\”>”
The [Record ID#] identifies which record and the fid (Field ID) of your File Attachment field would replace the 22 above.

The 100 sets the size.

I only have one table that houses both the brochures and letters. Each record in the table includes everything we need to know about the document, including what gets sent out with the letter. There is a dropdown list field that lists all the documents within the app. I was just hoping that dropdown list could result in a direct link to the file. (Just as there is a direct link to the document the record was created for).

It sounds like you are using one table to hold one table to hold different types of documents. Some are letters and some are brochures.

If you want to lookup information from one record to another, you will need to make a relationship. If you still prefer to have only one table, then you can set up a table to be related to itself.

But I actually suggest separating into multiple tables.

It sounds like you are trying to send out standard letters with selection(s) of standard brochures. If I could better understand your desired workflow I could suggest a table setup and relationships.

Yes, standard letters with standard brochures. I have the records separated by department as well, and some brochures are used by multiple departments. It may make the most sense to have two tables. But, that could also take more work than necessary at this time, this is just a repository. Once we roll out our new platform, this information will be handed to a fulfillment center. Thank you for your help.

Well, you can still use my solution. Just make a new relationship to relate the table to itself
