For alerts to work, it has to be a user field or someone in a role.  Is there any way I could send an alert to someone listed in a non user field?  The reason for doing this that user field nearly everyone accessing the app and I need a shorter list.

You can create an email notification as an "Open" notification, rather than "Recipient" notification.  This would allow you to select either a standard email address; or pull an email address from an email field.

You would not be able to use this technique on Subscriptions or Reminders; since those must be sent to Users.

Thanks. Are you referring to the option 'a specific list of users'?  But I do like your suggestion to create a   bank of emails but issue is how to categorise these and use in alerts?

You would need to have either a regular email-address field populated in a record by someone; or build a connected table of non-users with their email addresses as part of the relationship.  Then when you trigger your notification; it can be sent to the right non-user.
