Hi,

We're currently exploring ways to integrate Outlook with our Quickbase CRM to make it easier for our Account Managers to log and track client email communications.

Previously, we used Salesforce, which offered an Outlook integration that allowed users to select an email directly from their Outlook inbox and choose which Salesforce record (Account, Opportunity, etc.) they wanted to associate that email with. This made it easy to log relevant client communications without having to manually enter the information into the CRM.

In SF, their integration allowed:

  1. Click an option such as "Log to Salesforce"

  2. Search for and select the appropriate Account and/or Opportunity.

  3. Save the email, including its subject, sender, date, and body in the Account or Opportunity.

  4. Have the logged email automatically appear under the selected Account or Opportunity

Our goal is to allow users to selectively log emails and determine which records they're associated with, rather than automatically logging every email received from a particular contact. Any insight would be appreciated!

Quickbase doesn't have a Salesforce-style "Log to Quickbase" control inside Outlook where you pick an Account or Opportunity on each message. The Outlook channel is Pipelines-based (New Email, Search, Send, Reply, etc.), not an Outlook add-in with a record picker.

The usual selective pattern is a dedicated folder. Create something like "Log to QB" (personal or shared mailbox). Account managers drag only the emails they want logged into that folder. A pipeline with a New Email trigger watching that folder creates a Communications (or Activities) record and looks up the related Account/Opportunity — by sender email, a deal ID in the subject, or whatever key you already use.

One gotcha from the docs: if the trigger is on Inbox and the message is moved out while the run starts, that run stops. Point the New Email trigger at the destination folder, not Inbox-then-move.

An Exchange connected table can sync a mailbox folder into Quickbase on a schedule for visibility, but it won't give you per-email Account/Opportunity selection at log time the way Salesforce did.
