I am looking for some direction on how to create a master roll-up Gantt.A Gantt charge that provides supervisory view of all project Gantt Charts. For our effort we have a bunch of small Work Orders that serve as Projects.Staff members (Resources) are assigned several Projects at any given time.Dirk
I need to create a drop down on a form and have the user select what team they want to assign to and then QuickBase auto assign to a member on that team in order. So employee 1 first then employee 2 and so on until it gets to the last employee and then it starts back on the first employee and continues.I have no clue if this could happen or how to.Thanks,Carol

For some reason I can't find any details for how to change number of rows displayed per page for particular table report (and if it even possible). What makes me more wondering - different reports for the same table may display different numbers of rows: 50, or 100, or 200.
SummaryRevenue forecasting often breaks down when it doesn’t reflect how revenue actually occurs. Many tools assume lump-sum revenue or rigid rules that don’t work well for projects spanning multiple months or years. We built a flexible revenue forecasting tool in Quickbase to address this and wanted to share the pattern since it’s reusable across many forecasting scenarios. The ChallengeMany forecasting approaches assume:Revenue can be treated as a single amountProjects don’t span months or fiscal yearsForecast logic is difficult to adaptWhat we needed instead:Revenue spread across start and end datesClear month-by-month visibilitySupport for multi-year workA forecast that updates automaticallyWhen this isn’t supported, forecasting usually ends up in spreadsheets, creating manual effort and risk. The ApproachRather than relying on static reports, the approach was to:Store forecast data as its own recordsOnly generate forecasts when revenue is likelyDistribute revenue across the months wh
My parent table is "Change Requests" and child table is "Prompts." The prompts tables houses prompts to a chatbot and the Change requests table houses all change requests (bugs found, knowledgebase expansion etc) that stem from prompts that have a negative feedback. So each prompt could have a change request. I created a Related Change request numeric reference to link the two tables and a corresponding Change Request (Text (reference proxy) ) and this allows me to look up and choose a parent record to assign the child to.However, I first need to create the parent record before it shows in the drop down menu of the Change Request (Text (reference proxy)) field. Further, I would like to filter this drop down to only show Change requests related to that particular Bot (as the Prompt table houses data for multiple Bots). Is there a way to create a new 'Change Requests' record from within the Prompt's table?I have Prompts collected for two Bots - Is it possible to filter the Change Req
Long-Term Strategies for Data Archiving in the Quickbase EcosystemSummaryOrganizations that have relied on Quickbase for years often reach a point where data growth, performance, compliance, and cost concerns require a more intentional approach to long-term data archiving. This article outlines practical, scalable strategies for archiving data within and beyond the Quickbase ecosystem, helping long-standing customers modernize without disrupting business-critical workflows. Why Long-Term Quickbase Customers Need an Archiving StrategyQuickbase excels at enabling rapid application development and operational agility. Over time, however, long-tenured Quickbase environments tend to accumulate:Millions of historical records across core tablesLarge file attachments increasing storage and sync timesPerformance degradation in reports, pipelines, and automationsCompliance and retention risks (financial, healthcare, construction, government, etc.)Rising subscription and storage costsWithout
I am trying to create a custom rule for a specific Role that prevents this role the ability to view specific records using the Record ID field. For some reason I can get this to work for one record, but when I add an additional record ID it seems to break. Can anyone tell me why and what I am doing wrong? In the screengrab below, If I only have one Record ID look up (1643) line it works fine. When I add the second Record ID for 1881 this seems to break the rule. Thanks,Brian
I have a pipeline with a search records step using an advanced query. It is successfully returning the records I'm after, but I would like to also sort the results so I can grab a particular one.Is it possible to specify options for an advanced query within a pipeline search records, or am I limited to just a simple query string? The documentation doesn't mention how to incorporate other params in a pipeline just the query string. My current query string:{'3'.XEX.{{a.id}}}AND{'16'.EX.'Update'}Thanks!
I have a time reports table that could have multiple time reports for any 1 person. Each record contains hours for individual fields Sun-Saturday. These hours could be Regular or Benefit hours. If an employee is Hourly, and they work more than 40 Regular hours across their 1 or more Time Report Records, I need the OT calculation formula to evaluate how many OT hours should be applied to the Added/Updated record(s). I have 2 pipelines built to handle this: one for record(s) added and another for record(s) updated. The pipeline copies the OT calculation into the O/T Hours field for each record as applicable. The OT calculation below works for when they are adding hours above what is already there, but if they REDUCE hours (making a correction), it does not back out the O/T Hours and I'm not sure what adjustment I need to make to the formula for this to work. Any suggestions? If([Task - Consultant - Salaried/Hourly]="Hourly" and [Consultant Total Reg Hours Cur
One limitation I run into fairly often in Quickbase is filtered multi-selects. Quickbase supports conditional dropdowns on relationship fields, which works well when a user is selecting a single option. The issue comes up when users need to select multiple options and still have those options filtered based on one or more previous selections.Since multi-select fields can’t be filtered, users end up seeing options that don’t apply. I recently built a solution for this and wanted to share the pattern, since it’s reusable across a lot of different scenarios. The ChallengeOut of the box:Conditional dropdowns only support single selectionMulti-select fields can’t be filteredUsers end up seeing options that don’t applyIn this case, the requirements were:Users must be able to select multiple options in both stepsOnly valid options should ever be shownThe experience should feel simple and intuitive, not like a workaroundThe goal wasn’t to force something into a multi-select field — it was to ke
Introducing the Code Page Samples AppHello Builders! We are on a constant journey to elevate the level of sophistication that can be achieved in Quickbase. From new aggregate capabilities, Pipelines, a refreshed UI and class-leading governance, Quickbase is a truly no-code tool. But to us, no code doesn’t have to mean “code not allowed”. While we are retiring iCal and vCard fields natively, those features can be achieved with a little bit of JavaScript and our new RESTful APIs. More recently, we announced that we will be changing the way the platform handles custom content (like JavaScript code) that is inserted outside of code pages to put security first. Combining this effort with our roadmap to build extensibility, we both analyzed product usage and spoke with hundreds of builders to understand common use cases and edge case scenarios for extending Quickbase. While we aim to provide as much native functionality as possible, we have a strong set of APIs that allow builders to e
Hey Qrew! Osa here from Customer Education. We're trying something new: QBU Office Hours Live, 1-hour sessions where you can bring questions and work through course-related stuff directly with our team. Think of it like dropping by during office hours in college, except way less intimidating and with better tech. These sessions are built to support what you're learning in QBU courses, like "help me understand why this works" or "I'm stuck on this concept from the lesson." Quick note: Office Hours are focused on course content only. For app-specific troubleshooting or technical issues, your usual Support/CX team is still your best bet. Upcoming sessions January 15, 12–1 PM ET — Customer Education Q&ACome to Customer Education Office hours to get answers and help building a personalized learning path of courses that will accelerate your building. January 23, 12–1 PM ET — Intermediate Topics Relationships, forms, dashboa

Hello all! I've been scouring the discussions and I just wanted to make sure they're all still accurate since most of them are years old at this point. It seems the Refresh Connected Data button still doesn't show for non Admin level accounts. What is the best way for my Project Manager to force a data refresh? Is it still the webhook api calls? Or has there been a better way developed?
I have an excel spreadsheet with name of company and then up to 75 activities from one particular company, then it's priceMy task is when the user uses a pull down menu to pick the activity the other fields fill in automatically. So if they pick Amigo Parasailing the price auto populates and then there will be another field that would say # of people and then a field that would total # of people by the Cost of the activity. Example amigos (company) and amigos has 65 different activitiesPara sailing 100.00Razor 250.00 Scooters 1 hr - 25.00Scooter 2 hr - 20.00Aries (Company)Glass bottom boat - 15.00 Double parasail - 100.00I might have about 50 Vendors with 600 activities in total I first uploaded the spreadsheet into the table but that didn't work. I used dropdown as a field for the activity and vendor - then I am thinking does it all have to be in one field - vendor, activity and cost? But then I would not be able to multiple by number of people. Is
On Tuesday 01-06-2026, I accidently deleted Claim Records back to August 2025. This is over 2,000 records. I immediately started a case with QuickBase, received an email with a case number. I have not heard back from Tech Support, I've made 2 calls to Sales (hoping for help) and emailed both of our Account Reps. Have not heard back from any one.Any help from any one of how to get ahold of Tech Support would be greatly appreciated.Kathy
tldr; Rich Text Fields use MarkdownI was writing a solution to a User Request problem into our homebuilt ticketing system. It has to do with applying '_curuser_' to a custom Role permission. I noticed that as soon as I hit space after the last underscore, the text changed. This is unexpected behavior and in this case undesireable, I want to maintain the syntax of the custom rule. Today I learned something new and want to share it in case like me you had no idea this would happen. If you type certain characters in a specific order into a Rich Text field, the text changes formatting. Below is a table of all the examples I could find. The left column is preceded and ended by a single quote which causes the text to stay unchanged. The right column is the same syntaxt without the single quotes, note how the formatting is changed. ~ since this Website won't allow some of the characters I inserted an image, sorry to those who like to copy and paste for thier own notes. &nb

Intro I’m Kevin Montgomery (he/him), Marketing Operations Developer from the AIR MILES Reward Program in Toronto, Canada. Primarily, I’m responsible for maintaining our Quickbase realm and developing apps to help streamline and scale up our processes. Quickbase Beginnings I have been using Quickbase since October 2018. First, as a participant in a time-tracking app. Then, in January 2022, I accepted a new position to help manage and develop the functionality of our marketing execution app, which has since grown into developing several apps for our marketing and finance departments. On a personal level, I also use my Quickbase builder account to prototype weird and wonderful models, including weight management, gas price trends, and electoral reform. I think I realized I was hooked on Quickbase when I found myself jumping to my builder account to prototype an idea rather than firing up a spreadsheet or a local XAMPP server instance. Building and Impact What’s your favorite app aspect t
I have a record that contains a text field with multiple values separated by commas (which I can also turn into a multi select field if that makes things easier). I want to loop through the values in the field and within each loop perform a QB record update. In pipelines, I understand how I can perform a loop based off a list of records, but in this case I need the loop to be based off a list of values in a field.... any way to do this?Thanks.------------------------------Jennason Quick Base Admin------------------------------
Starting in March, we’re updating when we roll out our monthly major release. Instead of releasing on Sunday morning, we’ll now deploy our major release at 11:00 PM Eastern Time, usually on the second Wednesday of each month. This new window falls during a period of low platform usage, which helps us minimize risk while continuing to deliver new capabilities and improvements. Important - nothing else about our release process or the customer experience is changing. New major release window:11:00 PM ET on the second Wednesday of each month (starting in March)* Minor releases (“patches”):Continue on Wednesdays at 11:00 PM ET as usual, except on the week of the major release This help article outlines our 2026 release schedule. *The second Wednesday of each month, except for certain months where major US holidays occur earlier in the month. In those cases, the monthly major release will typically be on the third Wednesday of the month. Quickbase reserves the right to a
Good morning, good afternoon and good evening Ladies and Gentlemen! In the past year I've inherited the Realm Admin role for a coworker that is now no longer with the company. This was a platform he was working on for 3-4 Years before I stated training under him. Is there a way to gain "ownership" of his previous pipelines? As of right now, I can't make any changes, turn off etc these pipelines. So if something needs to be amended I can't do so.As I type this, I realize this might be more of a question for my QB Rep, but any insight is helpful!

Good afternoon everyone! I couldn't find anything on this, but is there a way to embed a Grid Edit Report from one table into the form of another table? I go to add a report into the Form of Table B, but it doesn't show up as an option. I can't remember from its release if they said this was a feature or slated to be a feature.
