September 2025 Qrew Meetup Recap
Thank you to everyone who joined yesterday’s Pipelines Qrew meetup. Here’s what we discussed: Rob Mersereau, Sr. Implementation Consultant, shared an encore of his Empower 2025 talk using a Mardi Gras example to show how to integrate Quickbase with Google Calendar through Pipelines. He noted that this use case can be applied to Outlook and SharePoint. Key highlights and tips: Link to app for following along Connect & Import: Rob demonstrated linking multiple Google accounts to Pipelines to pull Mardi Gras parade events into Quickbase—one record per event. Qrew Tip: Name Quickbase fields clearly with “gcal_” prefixes so AI auto-mapping works smoothly. Push to Calendar: He showed sending Quickbase parade plans to Google Calendar, writing back event IDs and clickable links for seamless updates. Qrew Tip: Always double-check your pipeline is turned on—this is the top cause of sync issues. Keep Data Fresh: Rob recommends using Bulk Record Upsert in Quickbase to quickly update or add records and track changes. Qrew Tip: Use Google event IDs as merge fields to prevent duplicates and enable reliable two-way sync. Build Gradually: Start with simple one-way flows, then add Teams alerts, Maps API calls, or multi-way sync as your workflow grows. Missed the meetup? Hey Everyone, For those of you who attended the August 28th Pipelines meetup, some of this will be a repeat. Quickbase is hosting a virtual end user conference in October. We're calling it EmpowerPro. On day 4, we'll have a Pipelines Qrew Meetup. What are some ideas for what we can do with our hour together on October 18th? Here are some ideas that were shared in the chat of the Aug 28th call: Pipelines and Versioning, Version Control, ALM, Sandboxes, etc Service Accounts, how to use them, what to do about transitioning existing pipelines ownership over to Service Accounts Pipelines Error Messages: What Do They Mean, What Should I Do When I See Them? There may be others I've missed but these appear to be the top three categories of what people are wanting more of. What do we think? Let's also keep in mind that for many individuals, the October Pipelines Meet Up will be their first time interacting with this Qrew. I personally like the idea of breaking down different error messages since if I were an end user that would be super frustrating to deal with. But all three of these are valuable topics that I'm sure would make for a meaningful meet up. Share your thoughts, please. Hi everyone, I have a pipeline that's been working great for about a year and just recently it's broken down and I'm having a really difficult time getting it figured out. Essentially, it's a pipeline that searches through invoices triggered by a button on my Base record - if an invoice exists it updates it, if it doesn't find one it creates one. I have it set up to search Base for several financial summary fields and insert those records as lines in the Books invoice. This has worked wonderfully for a long time, but now it just will not insert that array of records as lines when an invoice is updated (it still works when creating a new invoice). Has anyone experienced anything similar? I've tried copying the whole pipeline, I've tried deleting the "update invoice" step and recreating it, I've tried turning it off and on again, but it still just isn't working. Hi everyone! I have a tricky question for you. I have a parent table (jobs) with a child table (schedule) with its own child table (crew assignments), which in turn has its own parent table (crew) which is just a master list of the staff. The way I have my app designed, users add schedule items in a grid edit within the main Job form. Then within each schedule item in the grid edit, there's a multi-select text field set up to assign crew members to each schedule item. It's fine, but it's just a multi-select text field that pulls crew names from the master crew table, it's not actually associating crew assignment child records with that schedule item. Having users click a report link from each schedule item and add crew assignments in grid edit mode would be adding too many steps. What I think I need is to be able to do is keep my multi-select text field, but create an automation that separates that list and then creates a child record in the crew assignments table for each name on the list. I haven't done much with list fields in automations so I'm not sure where to start. Or of course, if I'm missing something blindingly obvious about being able to create multiple grandchild records within a grandparent form let me know. Hi everyone! Does anyone know how to add multiple lines to a Quickbooks invoice via a pipeline? Is that possible? For example, I have a Job record in Base that generates a Books invoice via a pipeline. The Base record has multiple child records that I need to be able to insert as multiple line items in the Books invoice.
