Q Tip; Quickbase Sandbox (Editing Structure w/o Access to Data)
🧠🧠🧠 Introducing "Q Tips", a blog series designed for Qrew members to share tips with the rest of The Qrew. Q Tips are short and sweet. The idea behind a Q Tip is there's something you do in Quickbase that makes your life easier, and you want to give access to this gold nugget to the rest of The Qrew.
Do you want to submit your own Q Tip? Join the Champions Program and take the Q Tip challenge! I'll review all submissions and publish entries everyone in The Qrew can benefit from. What do you get? Points, badges, and the priceless feeling of knowing you made The Qrew a little bit smarter today.
This week's Q Tip comes from the Quickbase product team, specifically @Alaina Nielson and @Ventsislav Tasev...
We’ve seen the question a few times: Is there a way to let someone edit the structure of my app without having access to the data?
Yes! By getting creative with a Quickbase Sandbox, you can:
- Let someone edit your app without ever seeing the data
- Maintain the ability to review and publish the changes yourself
Here’s how:
- Make sure the sandbox feature has been turned on for the app you want to edit.
- Create a new sandbox.
- When prompted, choose to copy No records. This will pull the structure of the app into the sandbox without any data.
- Add the person who needs to make edits to the Users page of the sandbox.
- Learn more about permissions and sandboxes.
- After you’ve added the person to the sandbox and given them editing permissions, copy and paste the URL to share a direct link to the sandbox.
- The person won’t be able to access the sandbox through the My Apps page, but they will be able to access the sandbox via the direct link.
- The person will then be able to change the app structure. However, they will not be able to publish their changes. After they have made changes, they should contact you.
- You can then go in and review and publish the changes to the live app.
