As an app developer or designer building multi-table workflows, I want to know the safe limit for relationship depth so that I can avoid overly nested structures that make reports slow, formula unreliable and also hard to maintain the app
How do I design for future fields I don’t know yet without overengineering?
As a Quickbase builder managing a growing application, I want to understand how relationships impact system performance so that I can design my data model in a way that stays fast, scalable, and easy to maintain as complexity increases.
As a system architect building interconnected tables, I want to prevent circular dependencies so that my data model remains stable, avoids infinite loops, and does not break reporting, syncing, or automation logic.
As a user relying on lookup fields for real-time data visibility, I want to understand why lookups sometimes slow down or show inconsistent values so that I can identify performance bottlenecks and ensure my data stays accurate and responsive.
How do I redesign an app when tables start becoming tightly coupled and slow?
Did QB recently (within the past few months) make any updates that would impact a user being auto-logged out due to inactivity? Admittedly this hasn't happened to me as I spend a big chunk of my day in QB, but I've had a lot of users complain that they've been getting logged out more and more often. Apparently they used to go the entire day without getting logged out (despite our realm-level policy being set at 2 hours of inactivity before triggering a log out), and now they're reporting as little as 30 minutes of inactivity before being asked to log back in again. It's a mild annoyance that's impacted a lot of my users.Something I never really noticed because I hardly go 20 minutes without using QB during work hours, but maybe our 2 hour logout policy at the realm level wasn't being enforced properly and now it sort of is?
Assuming I have a big app which is starting to lag and the field and relationships are increasinging becoming too many. When should I split one “mega app” into multiple connected apps?
How do I build idempotent workflows (so duplicates don’t get created)?
Implementing a Dark Mode feature in Quickbase would significantly improve the user experience, especially for users who spend long hours in the platform. Dark Mode can help reduce eye strain and make it easier to work across multiple tools that already support darker themes. There is clear user interest in this enhancement, with feedback noting that adjusting screen brightness isn’t an ideal solution for extended use. Adding a native Dark Mode option would align Quickbase with modern UI standards while supporting accessibility and everyday productivity. Overall, this would be a small change with a meaningful impact on comfort and usability.
How do I properly design parent-child-grandchild relationships?
Hello all, I'm still very new to Quickbase, and I could use some help, please.I need to be able to have Quickbase automatically extract all the customer information from a form into a CSV file once an application hits one of the "Approved" stages in the Kanban board, so we can then ideally FTP it to an external ERP. We can make is work with email, but FTP is ideal. This is an important part of the workflow. How can I do this?Your help would be greatly appreciated. Thank you in advance.
Hi Everyone! Great seeing you in April and looking forward to our next in person meetup in June. We're going to skip May due to Empower and looking forward to hearing about your Empower experience and questions when we meet next. In April, we had a great conversation about Quickbase, AI, and a FastField presentation by Industrial West.In June, we're excited to hear about what you learned from Empower and what questions you have after Empower. We'll also have a Quickbase FastField SME join virtually to answer all your FastField questions. Let's make the June meetup much larger than March and April so be sure to tell all your Customers and future Customers to come join us!
What’s the best way to normalize data in Quickbase without overcomplicating the app?
We have tables Company, Contact, Team Member, Opportunity, and Activity. An Activity is something that a Team Member does (for example a phone call or a meal) with a Contact from a Company. It may or may not relate to an Opportunity that is in work with (the same) Company.Right now we have a regular QuickBase form to add an Activity when needed. There are conditional dropdown fields on it so that once you pick a Company, it only shows the relevant Contacts and Opportunities. If you need to add a new Company and/or a new Contact in order to complete entering your Activity, you can.But sometimes, when an Activity is an event like a big dinner with multiple Contacts (maybe from multiple Companies) then the users have to go through the process multiple times. What they want is a single form where they enter the date and type of Activity, then add multiple Contacts (maybe from multiple Companies) and when they press enter - voila, multiple Activities are crea
Hey everyone, The Dallas Qrew will still be meeting in May, but we're switching things up and going virtual this month since many folks will be focused on Empower, Quickbase's annual user conference. I've been going in circles on this and can't figure out if I'm making a mistake or hitting a platform limitation. Would really appreciate any insight. What I'm trying to doI have a Rich Text field called [Jira ID - Description] that contains HTML like this:<p><b>Tool Link(s):</b> <a href="https://example.com/...">Group 1</a><br/> <b>Request Note:</b> N/A</p>I'm trying to extract the link text ("Group 1") using standard text formula functions. The weird partThese two expressions on the same field, same record give me contradictory results:Contains([Jira ID - Description], "Tool Link") → True Find("Oak Link", [Jira ID - Description]) → 0How can Contains find the text but Find can't? I've tried every capitalization variation, I've triple-checked the record ID in the formula checker, and the field preview clearly shows the content is there. Length() returns 800, so the field isn't empty. What I've already triedMid() — always returns blankL
Hey everyone, following up on the code-pages thread! Here's the first look at the thing we mentioned coming to the Exchange: The Hub (Lite). It's an app for your Quickbase realm — a single place to access, organize, and manage every app, with a release notes feed and feedback tracker built in. It really improves the way all users navigate through QB. This is definitely a labor of love for the Quickbase community.Quick walkthrough + a way to grab time with us if you'd like to see it live: https://levery.quickbase.com/db/bu77rzdv3?a=dbpage&pageID=19We're waiting on Exchange approval — but we've decided to go ahead and open installs to anyone who is looking to get their hands on it earlier. Would love to hear what you think.
I have a summary report which when I add dynamic filters to the report and filter like with status. The report goes blank then refreshes and display the data without filtering but on top the filter is still selected. I don't know if there's something the QB Engineering team is working on but I've tried on different reports and the menace is still the same. I am a cooked potato today please help if you ever had the same issue. Thanks in advance.
Hey everyone! Not sure if you all have spent much time playing around with the capabilities of code pages, but Kojo and I wanted to just say... there are some incredible things you can do in there. Especially when you leverage AI tools like claude / codex...A full customer-facing website — We just completely moved our customer-facing website (EOTI) into a code page. Yes, a real website, living inside Quickbase. A flappy bird style game — We also built a game with a live leaderboard (we'll be doing a full on competition at empower!)Something free coming to the Exchange — We have something really exciting in the works that we can't wait to share. It'll be free, and it's the kind of tool that could genuinely benefit anyone's realms!Feel free to reach out anytime!— Cam
I use to have an add on called exact forms and now Qbase bought the company, and the only way to access it is by upgrading QBase to higher package then we have which is thousands of dollars more plus the add on. There must be a different way to be able to have a template and print. another provider for an add on perhaps. I could even take the template and put it to excel instead of word. Does anyone have ideas?
Hello all,I just wanted to share how I was able to successfully set up a print button to print using a Dymo label. I have been searching online for a solution and I was being pointed to Trinity and that just wasn't an option with my organization. So below is the steps I took to get what I needed.Step 1Create a Formula Rich Text field with the address information. Below is the formula I used to get it my address in one field. Everywhere you see brackets, those are my field names. I have Name, Organization, Street Address, Street Address-2, City, State/Region and Postal Code. You will need to change those names in my formula to fit your field names. Also, we have some [Organization] that are very long so we I had to add some adjustments to the font if the character length got to a certain size. My formula is attached in the word document labelled "Step 1 Formula".Step 2Create a form on that table that specifically displays only the formula rich text field you created above. My field is n
Wanted to see if I could get report records using JSON Fetch step. I get a response but there are no records in the response, just headers and metadata. Method: POSTURL: https://api.quickbase.com/v1/records/queryAuth schema: Quickbase UsertokenHeaders:QB-Realm-Hostname: yourrealm.quickbase.comContent-Type: application/jsonAccept: application/jsonGet a report. For future me.
Hi,I am trying to build a pipeline in Quickbase to upload a file from file attachment field to Dropbox whenever a record is created. Now I need to get back the URL of the file uploaded in dropbox to another field (text or rich text) in quickbase and store it there. How to get the URL?I want to then use this URL field in document template and sent it out. So, users can click on the link in document template, and it opens up in dropbox.Thank you
I have a pipeline that when an attachment is saved in QB, then it takes that attachment moves it to SharePoint and then retrieves the SharePoint Link and updates the quickbase record with that link. Now I want to know is there a way for an email that has attachments, to save the attachment also. Right now when they open the email, in order to see the attachment, they have to open the email in Outlook. Thanks,Carol
