Introducing Support Portal Case Watchers!

We’ve just rolled out another improvement to our Support Case Management system, this time focused on making life easier for our customers.

You  can now add Case Watchers in the Support Portal. Watchers receive no-reply email notifications whenever a case is updated, whether that is via Email or Portal Post.

Why this matters:

✅   Great for Realm and Account Admins who want lifecycle visibility without being CC’d on every thread

✅   Enables executive awareness on high-profile or sensitive cases

✅   Clean, structured notification including case ID, subject, who updated it, and the update content

✅   Sent from our no-reply mailbox to keep communication intentional and clutter-free

A watcher can be added to a case initially, at the time you create your request, but also later - from the case layout. The updates are much clearer and targeted, eliminate mailbox clutter and work with both Chat post and Email. Adding someone as a Watcher is “set and forget” for the case lifecycle (unless they are removed manually). 

Case Watcher is now available to all customers who have access to the support portal, regardless of their plan!

    Hi Jim!

    You are right, the "watcher" is capturing conversations from the ticket's Post/Email feed and is issuing a notification to emails added to this field.

    If I understand correctly, your end goal is to be notified on any updates happening across your realm's tickets, is this correct?
    We can certainly explore such options for realm/account admins on the backend, without too much hassle on your side.
    Let me know and I will review this internally and get back to you.

  • Tested it and it's a little overeager in the number of emails but more is always better. Now I want to see if my non-quickbase account can open the ticket and add comments?

      I logged on to my gmail and replied to the Support ticket, it didn't appear in QB Support. I didn't get a bounce in Gmail. I'm thinking this Watcher feature is a listener and not a conversation. Any conversation by watchers must be held outside the QB Support ticket.

      An alternative to is to build a QB Support ticket app and use it as the local conversation. The watcher is a service account. An automation receives the watcher email, creates/updates the local QB Support ticket (on case number as a UNIQUE field in the table). Writing to the UNIQUE field means no lookup/search required.

      Next steps for QB Support is to add the service account as a watcher for realm. This way we are aware of all support tickets taking place. We have a local static copy of the tickets. hmmm this could be useful.
