Hi Kelly,
The best thing to do in this instance is to get in touch with our care team via a support case when you are starting to change to the new domain name and email address. When you get a new domain name you can let them know and they will add it to the email domains associated with your account, they can also add your current domain to the ones associated to your account if you haven't registered it before (it is possible to have more than one domain registered but a specific domain can only typically be claimed by one account in QB). Care can also help you with the information you might need to get prepped for this change.
When your individual users are ready to transition their email addresses one of the easiest way to help them transition is to have them sign into Quickbase, open up their preferences by clicking on their name where it appears in the upper right hand corner when signed into an application and there is a place right there for them to update their email address and save. So long as they update their email address within their preferences they will not lose connection to any records they have in QB and their User ID stays the same. This also has the added benefit of making sure they are aware they changed their emails so they don't get stuck trying to login to an old email address and wondering why it doesn't work. You can also see anyone who hasn't changed their email by looking at your users table in your account settings to see if there are others in need of help updating.
