These reports are often required by IT teams to help ensure proper compliance with your org’s governance policies. If you’d like to access them, please contact your account team. Read on for technical details about the SOC2 framework and how it benefits you as a customer of Quickbase. Background Quickbase is a work management platform optimized to run large-scale operations and projects. And to do that, we need to manage some of your most sensitive data. That’s why trust is at the core of everything that we do. Before deciding to build in Quickbase, you need to trust that your data will be secure here. You need to trust that we are complying with all the necessary standards and controls. You need to trust that your privacy is being protected. And you need to know that our software will be up and available day-in, day out. Trust is not something that’s given lightly - it needs to be earned. And we work hard every day to earn your trust. Our reputation of operational excellence Quickbase has a proven track record of providing best in class security, confidentiality, and availability. Here’s how we do it: Security – The Quickbase platform itself is designed with data security at its core. For example, we logically segregate customer data by realm and by app. And customers control who can access their accounts and the apps within them. Quickbase protects data at rest using envelope encryption with AES-256 encryption keys. And data in transit is encrypted via TLS (v1.2 or higher). Quickbase’s internal processes are designed to keep your data secure as well. We use a number of tools to detect security vulnerabilities, including, but not limited to, regular web application security scans and infrastructure scans. Extensive logging of all aspects of the Quickbase platform are tracked and stored for six months. Confidentiality – Our platform operations ensure the confidentiality of your data. The only Quickbase staff with administrative access to our infrastructure are the members of our small operations team, and all Quickbase staff are bound by NDAs and acceptable use policies which forbid unauthorized access to customer data. Availability – Quickbase has an average uptime of 99.9%. We make uptime stats widely available through our service page. We maintain this high level of availability in a number of ways. We use multiple geographically diverse hosting locations, with all necessary data being replicated across regions. We also regularly exercise our failover capability between regions to ensure that we can switch regions within 2hrs (This is our RTO, or Recovery Time Objective). Our operations team is also continuously monitoring the platform, to make sure we rapidly address any production issues, 24/7/365. You can also learn more in our Trust Center. But don’t take our word for it Independent, third-party validation adds a crucial layer of trust where sensitive business data is involved. That’s why such validation has become the gold standard for data security in the cloud. Our SOC2 reports provide that third-party validation, and Quickbase has been evaluated by other independent entities as well: We have earned an A ranking on SecurityScorecard, rating us as #1 across all industries for our security posture. We have achieved Level Two attestation in the STAR registry. This means that an independent assessment validated that Quickbase conforms to the security controls and principles of the Cloud Controls Matrix, provided by the Cloud Security Alliance. What is SOC2? The System and Organization Controls 2 (SOC2) framework provides detailed information and assurance that the Trust Services Criteria are being met by the service organization being examined. This framework was developed by the American Institute of Certified Public Accountants (AICPA), and it has become a widely recognized standard of quality for the software industry. The Trust Services Criteria relevant to the Quickbase platform are security, confidentiality, and availability. Additionally, our SOC2 report for Quickbase includes attestation of adherence to the following supplemental frameworks: The HIPAA Security Rule – for healthcare entities and those organizations serving the healthcare industry DFARS – for US Department of Defense customers CSA STAR Level 2 – for any customer seeking additional assurance as to the state of our cloud security posture And our SOC2 report for FastField includes attestation of adherence to the HIPAA Security Rule. Quickbase engaged a third-party firm to conduct an independent assessment to validate that Quickbase conforms to the controls and principles of the AICPA’s Trust Services Criteria. These assessments are performed annually. Since Quickbase’s recent acquisition of FastField, our SOC2 assessment now includes reports on both platforms: Quickbase and FastField. Both Quickbase and FastField have been evaluated under the SOC2 Type II framework. Unlike SOC2 Type I, which assesses the design of these controls at a single point in time, Type II examines their operational effectiveness. This ensures that Quickbase’s systems and practices consistently meet the stringent criteria set out for security, availability, and confidentiality. Please note that, in addition to our SOC2 reports, we also have SOC1 and SOC3 reports available. SOC1 provides assurance to customers leveraging Quickbase for processes that impact financial reporting. SOC3 is designed to meet the needs of those seeking assurance about the controls at Quickbase relevant to security, confidentiality and availability, but do not have the need for or the knowledge necessary to make effective use of a SOC2 report. How can I view the new SOC reports? If you're interested in viewing any of our latest SOC reports, please contact your account team. The shared responsibility model Quickbase is committed to maintaining best-in-class security; however, security and privacy are a shared responsibility. Quickbase provides a secure Platform-as-a-Service (PaaS), and further provides the tools, support and training resources to enable our customers to build and maintain secure apps. Customers also have responsibilities around the security of Quickbase apps and the data held within them. Customers must understand what data they intend to collect and store in their Quickbase apps, and ensure that legal, security and compliance requirements are addressed accordingly. Customers must ensure that security is addressed in the development, implementation and maintenance of Quickbase apps, including but not limited to ensuring that apps are shared with only those who are authorized to access them. This “Shared Responsibility Model” empowers Quickbase customers to maintain greater control of their data, which in return limits the actions Quickbase might be able to take on their behalf. Document creation will be generally available on October 31 Avoid missed project deadlines and centralize processes using our new, built-in document creation capability. It’s currently in open beta, and it will become generally available on October 31, 2024. It’s included on the Business and Enterprise plans. Background Quickbase is a work management platform that’s focused on improving productivity while reducing costs. And much of the work being run on Quickbase is complex. It often requires collaborating with several stakeholders across your organization and external folks as well. Vendors, partners, and customers all have a part to play and it’s important to get them the right data in the right format. Previously, if you needed to generate files like PDFs you had a few different options. You could purchase a separate add-on from one of our partners. Or you could use an older Word macro from Quickbase called Exact Forms. That tool has many limitations, especially for users on modern systems. And there was no way to quickly generate a simple document like an invoice or a purchase order. That’s why we’re proud to announce that we’re releasing a new document creation capability that’s built right into Quickbase. Available on the Business and Enterprise plans, document creation is part of an expanded suite of collaboration features that also includes Share Publicly (Everyone on the Internet), Email Anyone, and our other new collaboration feature, Secure Links. Read on to learn how Document Creation can benefit your business. Intuitive document setup Creating and generating PDFs has never been easier, now that you can set up document templates from your table settings menu. Use our modernized template builder, so you can design your template from scratch or get started by importing a Word document. You can add text, images, and embedded forms and reports here. And you can insert fields from your Quickbase records anywhere throughout your document. You can output to a PDF, Word, or HTML file. Generate a document at the push of a button Install the new document formula from the exchange so your app’s users can manually create a document when needed. You can customize the formula to set things like the document’s title and the file format. Email documents on the fly Here at Quickbase, we’re all about automating away routine and repetitive tasks. That’s why we upgraded our new custom email builder so you can pick a document template and include it attached to an email. This means your vendors can get a freshly-generated purchase order, even while you’re sitting on the beach or taking your kids to baseball practice. Use pipelines to embed documents anywhere in your workflow We know that your workflows are as unique as you are. So we designed document creation to be API first. You can use the new document endpoint in our RESTful API library to generate a document whenever and however you’d like, as part of a pipeline or in your own custom script. The document creation ecosystem Our document creation capability is designed to help you create simple documents quickly. While this gives you a lot of flexibility, some may need more advanced formatting options. Or you may need file formats other than PDF, Word, and HTML. We have excellent partners who can help with that. , a Quickbase add-on from Juiced Technologies, offers comprehensive templates in Word along with additional functionality via complementary add-ons. Exact Forms Plus has also been updated to work with templates made via our Document Creation feature. FormsEngine from Advantage Integrated Solutions comes with advanced digital forms for both data input and output, and e-signature capabilities. Exact Forms Retirement Since our new document creation feature provides a much better experience, we will be retiring Exact Forms. On September 15, 2024, Exact Forms reached end of support. This process will continue in 2025, which you can learn more about here. Learn More Document creation overview (help article) Build document templates (help article) Generate documents from records in your app (help article) Exact Forms is being retired We’ve been hard at work making it easier for you to generate PDF and Word documents, with the release of our new document creation feature. It provides a more modern and streamlined method for creating these documents quickly, built right into Quickbase. Therefore we will be retiring the Exact Forms feature. What is the timeline for retirement? On September 15, 2024, Exact Forms reached end of support. The only change that comes with this is that technical support for the Exact Forms feature will no longer be available. You can continue to use the feature as needed for now, although as with all unsupported features we do advise you to move to supported alternatives when possible (which are listed later in this article). In the second half of 2025, we will disable the ability to create new document templates using Exact Forms. Please note that we have no plans to bring Exact Forms to End of Life. So you will be able to continue using and editing any existing exact forms you have. Why we are retiring Exact Forms Exact Forms has served many companies well. However, since it runs as an MS Office macro, it has certain limitations. These issues have become more impactful over time. Our document creation feature, which will reach general availability at the end of October 2024, has none of those limitations: Exact Forms Document Creation Outputs HTML files only Outputs PDF, Word, and HTML files Limited to Windows computers Can be used on Windows, Mac, Linux, etc. Limited to desktop version of Word Can be used with desktop or online version of Word Document templates can only be updated by modifying HTML code Document templates updated in simple web editor Embedded reports of child records can only be inserted using JavaScript code Embedded reports of child records can be inserted in a few clicks in simple web editor Application tokens not supported Application tokens are supported Uses Word macro, which may not meet corporate security requirements Does not use Word macros What alternatives are available? The primary alternatives to Exact Forms are: Document Creation: Quickbase’s new built-in document creation feature, available on the Business and Enterprise plans, is the successor to Exact Forms. It provides a modern and streamlined way to build documents like invoices or purchase orders. With this new capability, creating and generating PDFs has never been easier. Introducing New Quickbase Navigation (beta) Update: This blog was initially published ahead of our open beta in May. On October 1st, new (or sidebar) navigation will become the default Quickbase experience. To help guide the transition, if your users tried new navigation during the open beta and reverted to legacy navigation, we will respect their current settings. Your team will still have the option to use to legacy (or top) navigation until the beginning of 2025, but doing so will require action from both admins and individual end users. That’s why we’re excited to announce the beta version of our new navigation. Here’s what to expect from our new navigation, and how you can try it out today. What’s changing? We rebuilt Quickbase’s navigation from the ground up to provide a more modern and intuitive experience for both you and your users. And, while we have future plans to add new functionality and concepts to our navigation, we’re not adding any new elements just yet. Instead, this initial release of our new navigation will re-arrange the components you use to navigate around your apps today. This approach will ease you and your users into this experience and make it easier to manage this change. Tables have moved to the left side Some may call it clunky; others call it dated, but we heard loud and clear from many of you that the Quickbase menus at the top of the page take up too much room. That’s why we’re moving app-level links to a new sidebar which you can find at the left edge of the page. Here, you can navigate to each table in your app. And if you are an app admin, you will find links to app settings and the user management page. We’re also providing centralized access to all your table settings with Settings for each table directly in the content menu are designed to save you time and clicks. It’s important to note that your existing table order and permissions will translate 1:1 from legacy navigation to the new style, so you’ll be able to hit the ground running without the need to re-calibrate your settings. With more room to breathe, you can see – and understand - more of your own data on your screen at once. There are several ways you can choose to interact with this menu, depending on how you like to get work done. You can open the sidebar by clicking the arrow to push content and maintain your open/closed state as you navigate across pages or simply hover anywhere over the closed sidebar to open temporarily and close automatically as you navigate. Switch between apps using the new global nav menu We’re cleaning up the experience of having to switch between apps with the app bar, by moving these controls to the top-left corner of the page. In this new waffle menu, you’ll be able to switch between apps. This is also where you will access other parts of Quickbase outside of apps, such as Pipelines and Exchange, enabling one-click access to key areas of the platform. Next steps The new navigation will be available for all users starting on May 8, 2024, with the ability to try it defaulted on. Each account admin can choose to disable the new navigation for their users under the Admin Console-> Permissions menu. If a user’s ability to turn the new navigation is not disabled, they can visit their user preferences and select sidebar navigation to try out the new experience. Happy navigating! Automations will no longer be editable as of June 30, 2025 NOTE: Since we initially published this article, we have updated the date when automations will no longer be editable. Now, as we continue to look toward the future, we must also evaluate the role of older and less flexible features like Quickbase Automations. Support for the Automations featureended in June 2022, and editing existing automations will be locked on June 30, 2025. What this change means for you Beginning in June 2022, creating new automations was locked, however existing automations continued to run and could be edited at any time. Beginning June 30, 2025, automations you have already built will continue to run. However, you will no longer be able to edit your automations. We plan to keep existing automations running for the foreseeable future, rather than moving it to End of Life. If this changes, we will make sure to provide a reasonable amount of notice first. We strongly recommend that you avoid using unsupported features such as Automations because doing so presents a risk of disrupting your team’s workflow. Instead, you can migrate your remaining automations to pipelines. We’ve developed a simple migration tool you can use to create a corresponding pipeline for each of your automations, which you can do in just a few clicks. We have released more improvements to the migration tool recently, and it is now ready to migrate virtually any automation. (Learn more about using the migration tool in our help article.) But one thing that’s clear is that workflow automation is only going to increase in importance for customers and use cases of all kinds. To meet those evolving requirements, we have spent the last year growing and improving the workflow automation capabilities of our powerful new Pipelines technology. Now, as we continue to look toward the future, we must also evaluate the role of older and less flexible features like Quickbase Automations. That’s why we will be retiring Quickbase Automations in favor of Pipelines. On June 30, 2022, Automations will reach End of Support. What End of Support means for you The next step in retiring Automations will come on June 30, 2022, when the feature will reach End of Support. At that time, you will no longer be able to create new automations. This also means that the Quickbase Technical Support team will not be able to assist with the Automations feature after June 30, 2022. Existing automations will continue to be editable, and they will continue to run until Automations reaches End of Life. Focus areas for improving Pipelines We’ve gotten feedback from many of you on Pipelines, about what’s going well and where we have opportunity to improve. Thank you for taking the time to share your thoughts with us. Getting this perspective is essential to help us evolve our product and make sure we are serving this community well. There are three main areas we are focusing on to further support you as you migrate from Automations: Ease of use – We are working on improvements to make it faster and more intuitive to build pipelines. For example, in the January 2022 release we are making our builder wizard generally available. Using the wizard, the user first chooses which steps to include. Then, they are directed to the pipelines designer page where they fill in the details for how each step should work. We have also extended our Pipelines educational resources in Quickbase University, with the release of our new Pipelines Builder certification exam. Performance – In December 2021, we rolled out the new “Blaze” engine to offer better reliability, performance, and efficiency for Pipelines. Compared to November 2020, usage of our Pipelines capability has multiplied by more than 71 times, and the Blaze engine helps support that exponential increase in workload. It also lays the foundation for the next round of exponential growth in integration and automation use-cases which companies are looking to create with Quickbase Pipelines. We’ve seen pipelines run 30 times faster on average since releasing the Blaze engine. Governance – We are making major investments to make it easier to manage your pipelines at scale. Account administrators will be able to set access to Pipelines channels by individual user, or by user group. Pipelines builders will also be notified when one of their pipelines encounters an error. And finally, app builders will be able to see a list of pipelines connected to their app. Each of these features will be available in the first half of 2022, before we reach the End of Support date for Automations. Preparing to migrate There are three steps you can take to prepare for your migration from Automations to Pipelines: Make sure you have access to Pipelines – Some of you are app builders who have built automations but have not had a chance to start working with Pipelines. It’s worthwhile to check the top-left of your Quickbase view to make sure you have Pipelines access set up. If you do not see the Pipelines tab, you’ll need to contact one of your account admins to get access. Create new workflow automations using Pipelines instead of Automations – Since Automations will not be supported starting on June 30, 2022, this is the perfect time to stop creating new automations and creating pipelines instead. We have many resources available to bring you up to speed. (Check out our list on the community.) Begin migrating your existing automations to Pipelines - We’ve developed a simple migration tool you can use to create a corresponding pipeline for each of your automations, which you can do in just a few clicks. We have been improving the migration tool over the past few months, and it is now ready to migrate virtually any automation. (Learn more about using the migration tool in our help article.) Timeline Over the several months, we will be following our standard feature retirement lifecycle, and taking several steps along the way to retire the Quickbase Automations feature. Timing Retirement Phase Description June 22, 2021 End of Sale We will focus on making sure that all our customers have the information and resources they need to successfully plan for the migration of their Automations to Pipelines. Even though the Automations feature will still be available to existing customers, we encourage customers to begin using Pipelines to implement new workflow automation ideas moving forward. June 30, 2022 End of Support Your existing Automations will continue to run without interruption, but you will no longer be able to create new Automations or get assistance with the building and configuration of Automations from Quickbase staff. During this time, we encourage you to migrate any remaining Automations to Pipelines at the earliest possible opportunity. TBD End of Life Automations is officially retired. While the RESTful API offers more modern functionality, we understand that the XML API plays a slightly different role in Quickbase (for example, when you create a relationship, the Add Child Record button uses the XML API).
