While it is possible to include non-Quickbase users in the To field (like you would in Outlook), it's not currently possible to do so for the From field (and therefore, it's not possible to do so for the Reply To field either, since Reply To is automatically set to match the From field on the back end). I like your mailto solution as a workaround, but can you log this as product feedback as well? (Click the ? in the top-right corner when logged into Quickbase, then click Give feedback). Any app administrator, including the app manager, can now view app-level audit logs by going to App Settings > App management > Show audit logs. If you click on the From field when building a custom email, there are several options for who the sending email address is - like the owner of the email, or the user who triggered the change. See our help article for details. Introducing New Quickbase Navigation (beta) Update: This blog was initially published ahead of our open beta in May. On October 1st, new (or sidebar) navigation will become the default Quickbase experience. To help guide the transition, if your users tried new navigation during the open beta and reverted to legacy navigation, we will respect their current settings. Your team will still have the option to use to legacy (or top) navigation through the end of 2025, but doing so will require action from both admins and individual end users. That’s why we’re excited to announce the beta version of our new navigation. Here’s what to expect from our new navigation, and how you can try it out today. What’s changing? We rebuilt Quickbase’s navigation from the ground up to provide a more modern and intuitive experience for both you and your users. And, while we have future plans to add new functionality and concepts to our navigation, we’re not adding any new elements just yet. Instead, this initial release of our new navigation will re-arrange the components you use to navigate around your apps today. This approach will ease you and your users into this experience and make it easier to manage this change. Tables have moved to the left side Some may call it clunky; others call it dated, but we heard loud and clear from many of you that the Quickbase menus at the top of the page take up too much room. That’s why we’re moving app-level links to a new sidebar which you can find at the left edge of the page. Here, you can navigate to each table in your app. And if you are an app admin, you will find links to app settings and the user management page. We’re also providing centralized access to all your table settings with Settings for each table directly in the content menu are designed to save you time and clicks. It’s important to note that your existing table order and permissions will translate 1:1 from legacy navigation to the new style, so you’ll be able to hit the ground running without the need to re-calibrate your settings. With more room to breathe, you can see – and understand - more of your own data on your screen at once. There are several ways you can choose to interact with this menu, depending on how you like to get work done. You can open the sidebar by clicking the arrow to push content and maintain your open/closed state as you navigate across pages or simply hover anywhere over the closed sidebar to open temporarily and close automatically as you navigate. Switch between apps using the new global nav menu We’re cleaning up the experience of having to switch between apps with the app bar, by moving these controls to the top-left corner of the page. In this new waffle menu, you’ll be able to switch between apps. This is also where you will access other parts of Quickbase outside of apps, such as Pipelines and Exchange, enabling one-click access to key areas of the platform. Next steps The new navigation will be available for all users starting on May 8, 2024, with the ability to try it defaulted on. Knowing how important that visibility is when our admins think about managing their workflows, we are excited to announce three new ways we are enhancing our audit log capabilities. First, we are adding new types of events around pipelines. Next, we are adding a new Admin Console sync channel for audit logs. And finally, we are adding a new app-specific version of audit logs which app builders can access from their app settings. Together, these new capabilities give your team better visibility into how your Quickbase account is being used. Audit logs: What are they good for? At its heart, Quickbase is an operations platform. And thousands of companies rely on Quickbase every day to manage unique processes that involve sensitive, business-critical data. To properly control these processes, you can reference our detailed audit logs. These logs include many different types of events, such as: Data access and changes, like when a dashboard is viewed or a record is updated Schema changes, like when a new table is added or a relationship is deleted User events, like when a user is invited to an app or their role in an app changes To see a complete list of events available, please see our Audit Logs Library. Using audit logs, you can ensure adherence to your organization’s security standards and compliance policies. Over the past few quarters, we have also made many additions to Audit Logs like: New events added: app builders visiting key settings pages, as well as solution and super user activities Added resource links (for records, reports, etc.) to event descriptions User access change events expanded to show details on what changed Addition of the Session Information column to distinguish simultaneous user sessions New audit events Does your organization use pipelines? If you’re like most Quickbase customers, some of your workflows are enriched by using Quickbase apps and pipelines together. You could previously audit schema changes to your apps but now you can do the same for pipelines. To accomplish this, we’ve added the following events in audit logs: Pipeline created, updated, or deleted Pipeline manually enabled or disabled Pipeline automatically disabled due to editing Prompt sent to Pipelines Smart Builder With this update, pipelines has become fully integrated into the core Quickbase experience. These updates make it easier for an account or realm admin to ensure compliance with your organization’s security and data governance policies. Audit Logs connected table Available to those on the Business and Enterprise plans, the Admin Console connected tables give you access to administrative data such as users and apps. We also have a trio of Governance Core App templates you can use with these connected tables to create an effective governance framework that’s proactive and customizable. This is a great way for your account admins to save time and reduce surprises. Simply visit the exchange and search for GCA Instructions to check it out! We’re adding a new type of Admin Console connected table, for your Audit Logs. This includes event data like app schema changes and user management activities. User-level and record-level actions are not included. Please review our Audit Logs Library for more information. Want to know when a relationship or a form has been updated? With the new Audit Logs connected table, you could set up an email to go out whenever this happens. That way, you can investigate and follow up with the user directly. App-level audit access Audit logs are often used by account admins for compliance reasons. But many of you have told us that app admins also need this data sometimes, to assist their app’s users and troubleshoot when something unexpected happens. To do this today, an app builder would need to contact their account admin asking for specific information from the audit logs. This can be a slow and tedious process. That’s why we’ve added an app-level version of audit logs. App admins can access this from app settings and see usage data for that specific app. We’ve also added additional filters to make it even easier to search. Finally, you can restore deleted records from app-level audit logs – quickly responding to mistakes one of your app’s users may make. Being able to access audit logs directly saves time and frustration, allowing you to confidently resolve issues with your app’s users on your own. Update on the Retirement of Automations, Actions, and Webhooks features Quickbase makes it easy to reduce repetitive tasks and orchestrate workflows, uniting disconnected data onto one platform. With Pipelines, business users can manage both automations and integrations in one place. And we have been hard at work enhancing our Pipelines capability based on your feedback. Now, as we continue to look toward the future, we must also evaluate the role of older and less flexible features like Quickbase Actions. Quickbase Actions will reach End of Support on August 31, 2025, and it will no longer be possible to create new actions at that point. What this change means for you After August 31, 2025, Quickbase Actions will no longer be supported. And at that time, you will no longer be able to create new actions. However, existing actions you’ve created will continue to run. And you will be able to enable, disable, and edit those actions as needed. We previously communicated a plan to disable the editing of automations and actions, and to begin the retirement of Application Webhooks. Based on your feedback, we are not planning to make those changes at this time. We still do strongly recommend that you migrate any remaining actions, webhooks, and automations you’re using to pipelines instead, which enable more powerful and flexible workflows. If you are an app builder, you already have access to create pipelines. If you do not see the Pipelines link below, please contact your account administrator to get access. The Pipelines Advantage We have been continuously adding new capabilities and tools that make it easy for you to transition your workflow automations to our newer and more powerful Pipelines technology. Not only will this ensure that you don’t experience any disruption to your business or your processes, but it also opens the door to new workflow ideas that can connect across multiple systems. Pipelines supports all features available within QB Actions and Automations – Pipelines supports all the features you’ve been leveraging within QB Actions and Automations, including the ability to query the previous value of a field. Pipelines enables more sophisticated logic than Quickbase Actions and Automations – Pipelines supports more powerful business logic than QB Actions and Automations – including branching and looping, as well as parsing text. Pipelines gives you the ability to scale workflow across systems – In addition to orchestrating workflow within your Quickbase ecosystem, Pipelines includes drag-and-drop integration with over 40 products including Outlook, Slack, and Sharepoint. Intacct Connected Tables: Connection Settings Need to be Updated by February 28, 2025 Quickbase integrates with dozens of different products, and we periodically need to make changes to adapt as those external systems also make changes. Therefore we need to change how Sage Intacct connected tables authenticate. This is necessary to align with Sage’s standards that require integrations to authenticate using your Sender ID. If you are using any Intacct connected tables, you will need to review your active Intacct connections and update each Intacct Sync connection in Quickbase to provide your company’s Intacct Sender ID before February 28 th , 2025 – otherwise they will no longer run starting on March 1 st , 2025. Impacted customers previously received a note about this by email, however we wanted to post on community to further spread the word. Read on for details about how to make this change. Finding Your Intacct Sender ID: You may need to contact whoever manages your Intacct instance within your company to find your Sender ID. Once you’ve confirmed that you have an Intacct Sender ID, please add it to your Intacct Web Services Authorizations list if it isn’t already there. If your company doesn’t seem to have a Sender ID, it may be because you have not purchased a Web Services Developer License from Intacct. In that case, you will need to reach out to your account manager at Intacct. Depending on the volume of your Intacct API usage, you may also need to upgrade the service level tier for your developer license. Updating your connection settings in Quickbase: Once you have decided to continue using some of your Intacct connected tables, you will need to update the settings for each sync connection that those tables are using. To update the connection settings, the connection owner will first need to log into Quickbase. Then click your initials in the top-right corner and open your user profile. Under “My Connections”, be sure to update all Intacct connections you still need. For each one, enter your Intacct SenderID and SenderPassword, then save. In Case You Get Stuck We always aim to give you advance notice when changes like this happen, but we do understand that this might be frustrating. If you need assistance adding your company’s Intacct SenderID in Quickbase, please open a case with Quickbase Technical Support. If you do have questions about your SenderID or Intacct billing, please contact your account manager at Intacct. Please make sure to update the Intacct connection settings in Quickbase by February 28, 2025 to avoid your connection no longer syncing. Thank you for your patience as we navigate this change. Continuing A Tradition of Trust: The 2024 SOC2 Reports for Quickbase and FastField Are Now Available We’re proud to announce that our latest SOC2 reports are now available. These reports are often required by IT teams to help ensure proper compliance with your org’s governance policies. If you’d like to access them, please contact your account team. Read on for technical details about the SOC2 framework and how it benefits you as a customer of Quickbase. Background Quickbase is a work management platform optimized to run large-scale operations and projects. And to do that, we need to manage some of your most sensitive data. That’s why trust is at the core of everything that we do. Before deciding to build in Quickbase, you need to trust that your data will be secure here. You need to trust that we are complying with all the necessary standards and controls. You need to trust that your privacy is being protected. And you need to know that our software will be up and available day-in, day out. Trust is not something that’s given lightly - it needs to be earned. And we work hard every day to earn your trust. Our reputation of operational excellence Quickbase has a proven track record of providing best in class security, confidentiality, and availability. Here’s how we do it: Security – The Quickbase platform itself is designed with data security at its core. For example, we logically segregate customer data by realm and by app. And customers control who can access their accounts and the apps within them. Quickbase protects data at rest using envelope encryption with AES-256 encryption keys. And data in transit is encrypted via TLS (v1.2 or higher). Quickbase’s internal processes are designed to keep your data secure as well. We use a number of tools to detect security vulnerabilities, including, but not limited to, regular web application security scans and infrastructure scans. Extensive logging of all aspects of the Quickbase platform are tracked and stored for six months. Confidentiality – Our platform operations ensure the confidentiality of your data. The only Quickbase staff with administrative access to our infrastructure are the members of our small operations team, and all Quickbase staff are bound by NDAs and acceptable use policies which forbid unauthorized access to customer data. Availability – Quickbase has an average uptime of 99.9%. We make uptime stats widely available through our service page. We maintain this high level of availability in a number of ways. We use multiple geographically diverse hosting locations, with all necessary data being replicated across regions. We also regularly exercise our failover capability between regions to ensure that we can switch regions within 2hrs (This is our RTO, or Recovery Time Objective). Our operations team is also continuously monitoring the platform, to make sure we rapidly address any production issues, 24/7/365. You can also learn more in our Trust Center. But don’t take our word for it Independent, third-party validation adds a crucial layer of trust where sensitive business data is involved. That’s why such validation has become the gold standard for data security in the cloud. Our SOC2 reports provide that third-party validation, and Quickbase has been evaluated by other independent entities as well: We have earned an A ranking on SecurityScorecard, rating us as #1 across all industries for our security posture. We have achieved Level Two attestation in the STAR registry. This means that an independent assessment validated that Quickbase conforms to the security controls and principles of the Cloud Controls Matrix, provided by the Cloud Security Alliance. What is SOC2? The System and Organization Controls 2 (SOC2) framework provides detailed information and assurance that the Trust Services Criteria are being met by the service organization being examined. This framework was developed by the American Institute of Certified Public Accountants (AICPA), and it has become a widely recognized standard of quality for the software industry. The Trust Services Criteria relevant to the Quickbase platform are security, confidentiality, and availability. Additionally, our SOC2 report for Quickbase includes attestation of adherence to the following supplemental frameworks: The HIPAA Security Rule – for healthcare entities and those organizations serving the healthcare industry DFARS – for US Department of Defense customers CSA STAR Level 2 – for any customer seeking additional assurance as to the state of our cloud security posture And our SOC2 report for FastField includes attestation of adherence to the HIPAA Security Rule. Quickbase engaged a third-party firm to conduct an independent assessment to validate that Quickbase conforms to the controls and principles of the AICPA’s Trust Services Criteria. These assessments are performed annually. Since Quickbase’s recent acquisition of FastField, our SOC2 assessment now includes reports on both platforms: Quickbase and FastField. Both Quickbase and FastField have been evaluated under the SOC2 Type II framework. Unlike SOC2 Type I, which assesses the design of these controls at a single point in time, Type II examines their operational effectiveness. This ensures that Quickbase’s systems and practices consistently meet the stringent criteria set out for security, availability, and confidentiality. Please note that, in addition to our SOC2 reports, we also have SOC1 and SOC3 reports available. SOC1 provides assurance to customers leveraging Quickbase for processes that impact financial reporting. SOC3 is designed to meet the needs of those seeking assurance about the controls at Quickbase relevant to security, confidentiality and availability, but do not have the need for or the knowledge necessary to make effective use of a SOC2 report. The shared responsibility model Quickbase is committed to maintaining best-in-class security; however, security and privacy are a shared responsibility. Quickbase provides a secure Platform-as-a-Service (PaaS), and further provides the tools, support and training resources to enable our customers to build and maintain secure apps. Customers also have responsibilities around the security of Quickbase apps and the data held within them. Customers must understand what data they intend to collect and store in their Quickbase apps, and ensure that legal, security and compliance requirements are addressed accordingly. Customers must ensure that security is addressed in the development, implementation and maintenance of Quickbase apps, including but not limited to ensuring that apps are shared with only those who are authorized to access them. This “Shared Responsibility Model” empowers Quickbase customers to maintain greater control of their data, which in return limits the actions Quickbase might be able to take on their behalf.
