Hello Qrew!Anyone using Quickbase to work with people outside your org? Come talk about it at the September 22nd Qrew meetup! Here’s the list of features that help with connection and collaboration: Emailing non-users – send updates to any email, no login needed Emailing a record – share one record's exact view with someone in a click Public app sharing – open an app to anonymous users, read-only, write-only, or both Secure links – expiring links that let someone view or edit one record without logging in Document generation – auto-build PDFs or Word docs from your data Role-based access – control exactly what outside users can see or touch If you’re using these features, we'd like to hear from you. Please reach out and we can feature you at our next Qrew Meetup. Thank you!
Hi everyone,I’m available for remote Quickbase contract, part-time, or project-based work.I have hands-on experience building and improving Quickbase applications, including workflows, dashboards, reports, forms, automations, and process improvements. I can also support data cleanup, migrations, troubleshooting, and application enhancements.I’m especially interested in helping organizations that need short-term Quickbase support, backlog assistance, or help improving an existing application.I’d be happy to share a sample of my Quickbase work and discuss any upcoming projects. You can reach me at cdougall@mapptechnology.com.Regards,Charlene
I have a form with a basic rule that says "if this field has a value, then set this other field's value to another value". This is based on a relationship, but it works just fine when using the regular form. The issue is that when I click the "New Record" link at the top of an embedded Report which opens a modal instead of a new window the form rules don't apply the same way they do when using the full form. Here's the specific example. I have a parent "Job" record. In this record is a field called "Contract Type". When I create a new Project from that record using the embedded report, it automatically links the Job it was created from. I want the "Project - Contract Type" field to match what's in the Job record. But it needs to be possible to have a completely different "Contract Type" in the Project than what is in the Job. I just want it to default to that value.I'm using a basic form rule that says "if Job - Contract Type" is not empty, then fill that value into the "Project -
The 90-Day Framework New admins can quickly build confidence by following a structured 90-day approach instead of diving straight into fixes. Days 1 to 30: Learn the organizational goals and business processes an app supports. Identify priority apps and build your Quickbase fundamentals before trying to solve problems. Days 30 to 60: Prioritize tasks. Determine which apps or issues need immediate attention and which can wait. Days 60 to 90: Apply your foundational knowledge. Tackle key problems and bring well-considered solutions to your team. Beyond day 90: Stay current. Keep an eye on Quickbase updates, since tools and features evolve over time. Understand the “Why” Behind Your Apps Apps often drift from their original purpose. An app built as a CRM might now function as a project management tool, for example. Before making changes, investigate your newly inherited app's history: talk with its original creators or managers if you can, survey users, and align expectations with
I have a pipeline set up to Fetch JSON from a third party application and iterate over JSON records. It returns the results without an issue, however the main data I want to extract from the results is an array that is nested within that results object. My main goal is to iterate through that nested array and create a record for each item in that array. Is that possible?I have tried a few different things without any luck. I don't have a ton of experience with for loops using Webhooks, but that seemed to be the most likely way to do this so I have tried using that without any luck.I can post an example code if necessary. Any help would be greatly appreciated!
I was pulling in JSON data from Ground Control and was having some trouble pulling in some nested data while creating a record. Here is how I solved it. I hope I can save some people time.Used the method posted here to get this started: JSON Handler details Data initially pulled was not an issue at the top level.Nested inside my data is "customFieldValues". Sample: "customFieldValues": [ { "name": "SomeFieldA", "value": "Abcdefg" }, { "name": "SomeFieldB", "value": "1234567" }, { "name": "SomeFieldC", "value": "CwhatIDidThere?" } ] To pull in this value I needed to use a raw_record Jinja expression and state the location in the array.{{b.raw_record['customFieldValues'][0]['value']}} 0 is used since this is the first location in the Array.(This assumes that b. is the reference used for the ot
I'm having issues getting a pipeline to add records for each JSON object. I think it has to do with the JSON schema example in the Iterate over JSON records step, but I've tried a few different options without success. Here's what I'm looking at:Below is an example of the data from a user data call. This has 2 employee objects (or arrays? I'm not sure...) I'd like to create a record for each employee, pulling their email address from the data into a field. When I enter the example below in the JSON Schema Sample and run the pipeline, I get only a record created for employee 1.I've tried altering the JSON schema sample to what's shown below. When I take this approach, I get a record created, but it is completely blank (no email). Any help would be much appreciated!------------------------------Addie Brunson------------------------------
What are arrays and nested arrays? If you're building pipelines, then you most likely have encountered query steps and loops. Query steps in Pipelines produce arrays (also known as "lists") that can be looped through (1). This works seamlessly because the array exists at the top level of the step’s output. But what if the array is nested inside a step (2) (not necessarily a query step)... and what if the nested list is compiled of objects (3), not just values? Many Pipeline builders run into this when integrating with APIs, working with multi-select fields, or processing structured data with parent-child relationship. While Pipelines can loop through arrays, it currently does not support looping through nested arrays. So, below I'll explore how to deal with (2) and (3). Looping through a nested list of values (2) A nested array of values may appear as a list but its values are actually stored as: A single value With a delimiter separating each selection (for example ";")
Hello,I have a sync table to salesforce, and I have another table called projects.I've created a pipeline when the trigger is record added to SF table, then it must create a record into projects table.I tested this in sandbox and it works, but I manually created the record in SF tables (trying to mimic the behavior in live). So, I created another pipeline for "live", but this doesn't trigger. Now I know that sync table doesn't works the same as a normal table, so I need to change the logic of my trigger.SF table refresh the data once every day. I was thinking in add a "schedule", and search when "Creation Date" is the date of "today", like:If CreationDate = today AND flag = unchecked Create record in projects flag = CheckEnd ifBut I don't know how accurate this logic is. I want to create a record in project with the new sync data and not with old values.Any suggestion will be appreciated :)
I found this thread from years ago (https://community.quickbase.com/discussions/quickbase-discussions/multi-select-fields-max-100/76382) that demos a really clever method to get around QB's limit of 100 options in a multi-select text field, but I have sort of the opposite issue where I have a multi-select text field that contains a list of all 50 states, and I want users to be able to select potentially up to all 50 options, but currently they're limited to 20. There are a handful of workarounds (breaking the states list into multiple fields, creating 50 individual checkboxes for each state, setting up a sub-table with an embedded grid report on the form where the user would create 1 record/state), but none of those options are nearly as elegant/intuitive/UX friendly as just a single multi-select that lets you pick more than 20 options.Anyone have any ideas? This is for a project where the intended users are external users who have 0 QB experience and would only ever fill out this
At the recent App Builder Qrew meetup, we heard so many great AI prompting tips at our latest Qrew Meetup that I don’t want them to disappear into one recording. Let’s build something together: a Quickbase AI Prompt Library — by users, for users. If you’ve got a prompt that helped you: build something faster clean up data troubleshoot an app create or improve a Pipeline find insights save time or just make Quickbase AI behave a little better Drop it in the comments! Bonus points if you share using this format:1. The prompt (give some context) 2. What you were trying to do (describe any contraints or guardrails you added) 3. A screenshot/visual of the result (Share the output and the results of it) Let’s make this thread useful, practical, and full of examples people can borrow and reference. The goal is to turn what we collect in the community and turn it into a reference library for all Quickbase users. Thank you for sharing your prompts! Can't wait to see what we g
Last month we shared how our Pipelines engineering team protects one day each month, the first Friday, to work on the small things: the rough edges, the extra clicks, the moments of friction that individually seem minor but collectively shape how a product feels to use every day. The response to that post genuinely made our day. One reader commented: "I had noticed several of these and really appreciate the little changes, they are impactful. I really like being able to auto-gen description and notes for the steps, that is a huge time saver, and I found it to be more accurate than I would have expected." That is exactly the outcome we are after, so we are keeping the series going. To get to know our team better, I am going to start tagged the engineers who worked on each improvement. Here is what came out of our July session. More canvas real estate with the new floating islands tweaked by rmilushev-qb The top bar of the Pipeline Builder was taking up a lot o
Starting August 17, current Team and Business Plan realm admins can start a 30-day Enterprise trial directly from the account summary page in your Quickbase account. It's an opportunity to experiment with Enterprise features in your own environment, using your own apps and workflows, so you can learn what's possible before deciding whether those capabilities are right for your organization. A low-risk way to explore As your Quickbase environment grows, so do the challenges you're solving. You may be looking to solve something specific, or maybe you are just curious about features you've seen in the product, at Empower and webinars, or within the Community. Now you have a way to explore Enterprise features on your own, with your own data and workflows. Instead of wondering whether a feature could help, you can try it firsthand. At the end of the 30-day trial, your apps and work stay intact. Any assets you created during the trial are preserved, while Enterprise-only capabilities simply

I have a new-style form that displays pages as steps. The user clicks the button (Formula URL) under step #3 to add a child record. Once they save that record, they're redirected back to the form, but on step #1. How do I bring the user back to the last step they were on?URLRoot() & "db/" & [_DBID_TABLE_ALIAS_HERE] & "?a=API_GenAddRecordForm&_fid_6=" & URLEncode ([Record ID#])& "&z=" & Rurl()The app uses New Grid Reports. I tried having the user add records in-line, however those rely on lookups to the parent and they won't save, saying that the lookup value is not set.I created a new Formula URL button to redirect back to that specific tab. It works when editing/viewing records but not when adding.URLRoot() & "db/" & [_DBID_TABLE_ALIAS_HERE] & "?a=API_GenAddRecordForm&_fid_6=" & URLEncode ([Record ID#]) & "&NextURL=" & URLEncode(URLRoot() & "db/" & Dbid() & "/form?a=er&rid=" & [Record ID#] & "&
Hi,Is there a way for my app settings to automatically default to 'open in the same page' when editing a report? I know how to change the setting within the field itself but not when editing a report record. This ends up with a host of tabs open in my browser vs. staying within the project record itself.

I'm creating competition between Agents by creating a leaderboard, however my formula query is giving me an issue. The ranking is based on the AFLAC Submitted Premium Last Week column, (FID 677). Image attached. Essentially, the highest dollar amount would land in spot 1 and continue with next highest in spot 2 etc. Here's what I have thus far: var text SUBLIFE = "{677.GT.'" & [AFLAC Submitted Premium Last Week] & "'}AND{23.EX.'1'";Size(GetRecords($SUBLIFE)) + 1Any help would be greatly appreciated! The attached report is sorted lowest to highest by Rank.
Most engineering teams spend a lot of time thinking about what's next. We do too. But over the past year we've also started protecting one day each month to improve what's already there. Around the team, we call it "Delightful Pipelines Day." It's a chance to focus on the smaller improvements that make building Pipelines just a little easier. The search that doesn't stick. The extra click. The workflow that slows you down just enough to notice. Most of the changes we make are small enough that you probably won't notice them in the release notes. But over time, they add up. We hope they make Pipelines a little easier to use every day. We'll keep sharing these updates each month so you can see what we've been working on behind the scenes. Naming Help Naming things is hard. We added a Suggest Name option that looks at your pipeline and proposes a name based on what it's doing. Use it if it’s helpful, or Dismiss if you already have a be
I’m working in Quickbase and need help building a Formula–Text field based on selections in a Multi-Select Text field.RequirementThe formula should return one of three designations based on a strict priority:Tier 1 — highest priorityTier 2 — medium priorityTier 3 — lowest priorityWhen selections from multiple tiers are present, the formula must return the highest-priority tier.Current setup:The source field is a Multi-Select Text field(20 options). I created a helper Formula–Text field using:Lower(ToText([Multi-Select Field]))The helper field correctly displays the selected options as semicolon-separated text. However, formulas using the following methods do not consistently recognize all selected values:Contains, Find, Trim, RegexMatchEven a basic test such as this returns the false result, although the helper field visibly contains the phrase:var text Criteria = Lower(ToText([Multi-Select Field])); If( Contains($Criteria, "example selection"), "MATCHED", "NOT MATCHED" )I a
Hello,We have a Salesforce Sync Table that was originally owned by another user. While attempting to transfer the connection to a different user, "Disconnect Table" was selected instead of changing the connection. The table still exists and contains important relationships and pipelines. Is there any way to restore or reconnect the Salesforce connection to the existing table without recreating it?Thank you.
I have a form that generates approximately 500-600 submissions per day. The form currently contains 320 fields, 55 form rules, 100 lookup fields, and around 80 image fields.I've been troubleshooting a significant issue on mobile devices where selecting any multiple-choice question causes the screen to jump erratically. To isolate the problem, I've tried:Removing all image fieldsReducing the total field countCreating a simplified version with only 5-6 questions and roughly 30 fieldsEven with the stripped-down version, the screen jumping still occurs whenever a multiple-choice field is selected on mobile.Has anyone experienced something similar or have suggestions on what might be causing this? I'm trying to determine whether this is related to form configuration, form rules, lookup fields, browser behavior, device-specific issues, or a platform limitation/bug. Any troubleshooting ideas would be greatly appreciated.
Looking to have a gauge chart with 0 entries being what good looks like. We are using it to identify action items for our team. As QuickBase won't allow you to have your start larger than your goal, and results displaying based on a percentage, it makes setting the colors for the gauge super challenging as well. Any suggestions?

How do I change the document template format to single line spacing and also justified text alignment? Neither are options from the formatting menu but I'm assuming there's a way to do it in the source code? Thank you.
