Automated notifications with encrypted data

Hi, I am looking for a solution where I can send leads to one of hundreds of (about 200) email recipients, based on the leads location/site id. The data will need to be encrypted.

So, the process would look something like this:

  • A lead comes in to Quickbase. That would trigger a notification.
  • Based on the Site/Location ID, the lead data will go to an email address (or possibly a link to a portal).
  • The data must be encrypted and the sending method must be HIPAA compliant.

What are some of my options? Any advice? I had thought about possibly setting up 200 unique users in Quickbase with limited access, but that would carry a cost, it would be time consuming setting up unique permissions for everyone, and I would need to troubleshoot if they have access issues.

I'm not sure if there is an "easy solution" but I'm looking for alternatives that might be better.

  • Notifications may be created as Type = Open and can go to any emails address, not just users.  So you do no need 200 userids.

    As for encryption,  I don't know much about that.  I suppose that you can ask Quickbase support if their native emails are encrypted, and if not you can use Juiced Technologies Add On called "Courier" to send them.  Then they can come from your own mail server and you can satisfy yourself about your own encryption settings.  https://www.juicedtech.com/courier

      Hi Mark,

      Yes, I do understand that I can send notification emails to anyone. Sorry if that wasn't clear. I was referring to 2 possible scenarios:
      Scenario 1: email notifications (no user accounts)
      Scenario 2: Quickbase access (200 users accounts)

      I will check with Quickbase to see if native emails are encrypted. We already use the Courier add-on, so I will inquire with them too.

      Again, my goal is easy-setup and a user-friendly way for those who need access to have it.
