Project Managment App--set up for task management/sub tasks

Hello!

I have a PM application that I use for multiple projects, across multiple projects.

I have a Projects table, where project details and status are kept.

I have Project tasks, where I currently have all my tasks living, and inside each task, I use a comment field to manage a non-existent sub-task capability.  In other words, I have an open text field that I use to note Open subtasks vs Closed subtasks within the overall task/milestone.

I am a PM that facilitates and assigns tasks out/monitors status to many different stakeholders, so none of the workflows/tasks are really very standard.

Problem:  I want sub-task ability that line up under milestones/owning tasks that ideally do not necessitate a sub-task table.  I'm think a checkmark or something that indicates a sub task is needed and then reveals sub-task details that align neatly under the owning tasks as individual records.  Almost like, create a new task record within the task table, but this is a subtask type and relates to X owning task/milestone.

I wonder how to be able to add a subtask and related it to the owning task within the same table.

Keeping this all within the task table keeps me from having to create a whole bunch more relationship-based assignment fields back to my contacts table to assign to the sub-tasks and I can just use the same form.

Thoughts?  good Youtube videos to watch on the topic?

Note I have15 active projects with hundreds of tasks already, so just jumping to another QB generic PM app wouldn't be easy bc I've customized this one so much.

Thanks in advance!

  • Well, you can create a relationship of the task table to itself so that the tasks are still children of the project, but you have the ability to have a task be a child of another task.

Two caveats.  Be very careful of your names for the field like [Related Parent Task] and the lookup Proxy of Parent Task Name or you will confuse yourself.

Also be sure in the Add Task button that you also populates the field for Related Project so that he existing lookups from Project come down.
