Here’s what we discussed: AI Agents for Formulas — James Travaglini: James showed how AI can help builders create and refine Quickbase formulas faster, including examples like generating visual progress indicators and validating formula logic directly in Quickbase. Claude + QB Intelligence Prompts — Josh Miller: Josh shared how Claude can help turn business requirements into clear QB Intelligence prompts. He demonstrated how to structure prompts for tables, fields, relationships, and app validation so builders can move from idea to app structure more efficiently. AI Actions Use Cases — Jacob Buslewicz: Jacob walked through simple workflow examples using AI Actions, including how AI can extract key details from attachments like invoices and use that information to update or create Quickbase records. Hi App Builders Qrew! Thanks again to everyone who joined the April App Builder Qrew meetup. Here’s what we discussed: Jenna Kotyk walked us through how Michaels moved away from a very manual, siloed process and built a more connected workflow with Quickbase at the center. Key highlights include: Quickbase is the source of truth Jenna shared how Michaels uses Quickbase to centralize data across teams and systems like SharePoint, Service Channel, Workday, and SQL, helping create more visibility, clearer ownership, and more reliable data. Document templates that pull everything together She showed how their Dealmaker app pulls deal details, financials, photos, site plans, and market info into a standardized PDF for each store. What used to be a very manual process is now much faster and more consistent. Real time savings and strong adoption One of the biggest takeaways was the impact. This process has saved hundreds of hours, reduced manual work, and helped teams get ahead of committee prep. Jenna also shared that adoption has been strong because the old process was so painful. Qrew Tips from the meetup: Qrew Tip #1: One button can generate multiple templates Jenna shared that you can use a formula for the template ID, which allows one button to generate different templates depending on the scenario. Qrew Tip #2: Break big doc gen templates into smaller sections A great tip Jim Harrison who suggested to break larger doc gen templates in smaller pieces first, get each section working, and then combine them into the final version. Hi Qrew! Thanks again for joining our Qrew meetup: Construction Tracking App session on March 11 th . Here’s what we discussed: Emily Lundberg, William Byrd, and Scott Bullock for sharing Robinson Morton’s walked through how they replaced a mix of Excel, SharePoint, Monday.com, and Unanet with a centralized pre-construction tracking app to manage pre-construction work, project tracking, schedules, reporting, and team visibility. We also got to see live timeline reporting, Gantt charts, color-coded project phases, dashboard workflows, and SharePoint-connected data in action. Three Qrew tips from the session: Start with the real pain point. In this case, it was too much manual reporting, and too many disconnected tools became a weekly and monthly pain. Design for visibility. Giving teams a clear view into status, schedules, and workload can be just as valuable as automation. Let the app evolve with the business. Here’s what we discussed: Melissa Freel from Neighborhood Legal Services Michigan for led a thoughtful discussion on app transition and support strategies. She shared her experience preparing Quickbase applications for handoff at Neighborhood Legal Services Michigan, with a focus on making documentation clear, practical, and accessible for future admins and citizen developers. Qrew Tips from Melissa Freel on transitioning a suite of apps: Start with reporting requirements and critical workflows when documenting an inherited app. Keep architecture and relationship diagrams simple and easy to follow. Document temporary fixes, integrations, and troubleshooting steps so future admins have context. Use consistent naming conventions and standardized app design to make apps easier to support. Add comments to formulas and note prior logic or ticket references when useful. Create documentation that works for a wide range of users, especially citizen developers. Missed the meeting? Hello Qrew! Thank you to all who were able to attend Tuesday’s App Builder Qrew Meetup. We tried a new format and had a customer shared a real challenge and the Qrew workshopped solutions live. Here is what we discussed: Adam Toms from Rocky Mountain Care collapsed a tangle of facility-specific roles into one dynamic role by driving access off HR-fed subunits in a Core Ops app, replicating a lightweight “QB Users” table, flagging “Current User,” and enforcing a simple record rule. The group appreciated how clearly he mapped a complex use case. Ideal future state: App-readable custom fields on the native User (e.g., subunits) and in-app visibility into group membership—so no replicated user tables or per-table helpers. The audience gave him a vote of confidence in his current solution to which Adam plans to roll the pilot realm-wide and submit product feedback to expand user field capabilities. Ideas the Qrew shared that Adam plans to investigate: Use Governance Core Apps / Realm Insights as a command center to see who has what, then Pipelines/APIs to auto-sync HR changes into the identity table since his organization experiences frequent turnover and prefers one attribute-driven role over many location roles. Hi Qrew! Thank you to all who were able to attend yesterday’s App Builders Qrew meetup. Here’s what we discussed. Dashboard design and personalization tips: Sam Lange covered tips on how he uses new dashboards and shared best practices and tips that anyone from beginner to expert builders can use. A couple of highlights include recommendations to match your dashboards to client branding using color pickers and hex codes — access the link to the App Builder community page for color picker and hex code page recommendations from the Qrew. Same also recommends enhancing dashboards with embedded live elements like clocks, weather, and custom greetings via Code Pages. Check out the Code Page Discord for resources, help, and real-life examples from the Qrew. He also shared examples on how he uses emojis and colors to buttons and pages for better visual cues. I loved the look of those! Dashboard Performance Pro tips: Limit dashboard clutter by keeping no more than 5 reports per widget type per tab and leverage tabs or buttons to spread content and minimize heavy filters and drill-downs to keep dashboards snappy. Host images in a public or open-access files table to avoid broken links. For quick data input, use “quick save” buttons with grid edit forms backed by automation pipelines, and configure drill-down reports so filters applied on widgets pass through properly, reducing report duplication. Here’s what we discussed: Secure Links for External Access Matt Burger shared how to create secure links that allow external users to access specific records without needing a Quickbase login. He also covered advanced features like setting access windows with start/end dates and a centralized control panel to reset all links regularly for enhanced security. Qrew Tip on Secure Links: Always include an expiration or reset mechanism in your access key formula so older links automatically become invalid whenever you update permissions. Access Keys + Real-Time Bulk Upserts Andrew Carbejal-Everts showcased the GetAccessKey() formula that extracts multiple parameters from the URL, maintains them across tables, and enables instant bulk record operations using Table-to-Table Import. (Minute 5:37) Excel to Quickbase Migration Prashant Maheshwari demoed how his organization moved from “Excel hell” (sprawling, multi-tabbed spreadsheets and endless emails) to a centralized Quickbase app, making weekly updates, handoffs, and history tracking seamless. Living Images for Status (Minute 9:21) Prashant showed off dynamic “living images” using rich text formulas-visual status indicators that update in real time and can be referenced across tables, streamlining production meetings and status checks. ChatGPT for Formula Generation (Minute 12:43) Next, he walked through using ChatGPT to generate Quickbase rich text formulas for status indicators, enabling non-coders to create and tweak visual workflows fast. HTML Tables in Reports (Minute 17:05) Prashant also demonstrated embedding HTML tables in reports to consolidate multiple data points and images into a single, visually organized space-especially useful for image-heavy workflows. ChatGPT & Code Pages (Minute 38:35) Dwight Munson from Signa Health jumped in on the fly to share his experience using ChatGPT to build custom code pages with JavaScript in Quickbase.
