Realm Admin Qrew Breakout Session Recap June 2026
Thank you to everyone who joined the Realm Admin Qrew breakout sessions on Tuesday June 23rd. Here’s what we discussed. Georgi Georgiev: Why Quickbase Intelligence was built this way Shared the product team’s vision for QBI as workflow intelligence inside Quickbase, not just a generic chatbot. He explained how QBI is designed to understand app context, user intent, permissions, and data before helping users take action. Qrew tip: Start with one real business question your users already ask, then explore how QBI could help answer it in context. James Travaglini: How admins can manage AI access with Quickbase Intelligence Walked through AI Controls in the Admin Console and showed how admins can turn AI capabilities on or off at the realm and feature level. Highlighted permissions for specific users or groups, including controls for features like AI Smart Builder, Import Spreadsheets, AI Workflows, Quick Insights, and AI Agent actions. Qrew tip: Pilot AI with a small group first, enable only what they need, and expand access as your governance model matures. Josh Miller: How AI can support realm cleanup planning Shared how he used Realm Insights and Quickbase AI to review governance signals like inactive apps, app ownership, audit log activity, deactivated users, and cleanup opportunities. Showed how he used Claude to turn those findings into a leadership-friendly cleanup plan that could be shared with IT and leadership. Qrew tip: Use realm data to tell a clear governance story: what needs attention, why it matters, who should be involved, and what timeline makes sense. Missed the meeting? Here’s the recording. We’re excited to keep learning together as the Qrew explores how to incorporate new QBI features and AI tools to make managing realms, apps, and workflows more efficient. The Qrew is on Summer Break July 2026! No virtual Qrew meetups next month, but we plan to be back in August with a new topics and cadence of meetups for us to get together on.10Views0likes0CommentsAuto-Logout
Did QB recently (within the past few months) make any updates that would impact a user being auto-logged out due to inactivity? Admittedly this hasn't happened to me as I spend a big chunk of my day in QB, but I've had a lot of users complain that they've been getting logged out more and more often. Apparently they used to go the entire day without getting logged out (despite our realm-level policy being set at 2 hours of inactivity before triggering a log out), and now they're reporting as little as 30 minutes of inactivity before being asked to log back in again. It's a mild annoyance that's impacted a lot of my users. Something I never really noticed because I hardly go 20 minutes without using QB during work hours, but maybe our 2 hour logout policy at the realm level wasn't being enforced properly and now it sort of is?38Views1like2CommentsMigrating to New Grid Edit
We are adding users to a new app, which is our first one using the new spreadsheet style grid edit. What are best practices, in terms of: backend restrictions to not allow grid edit for users who likely don't need it training / instructing frontend users on the new behaviour Thanks.Solved68Views0likes1CommentSample Job Descriptions for Realm Admin
Hi all: My non-profit in Detroit is looking to develop a job description to hire an individual to manage our Quickbase work. I am looking for sample job descriptions that we could build off of. We are specifically looking to develop a job description for an individual who my not have QB experience but has low code or just good experience with technical problem solving. Specifically a more junior level person. Is anyone willing to reply and share their organizational job descriptions?34Views1like0CommentsAudit Logs Number of Times a Record is Added or Modified
I am trying to find out how many times a record is added or modified in an app. I don't want a list of each time this happened I just want a number totalling for each time a record is added and a number for when a form is modified for a particular time period. Is this possible? Thanks, Brian61Views0likes1CommentHow to Restrict Data Export and Download for All Roles in Quickbase?
Hi team, Hope you are doing great! I want to configure my Quickbase app so that no user, regardless of their role, can download or export tables and reports. I’m looking for the best practices or settings to completely block these actions at the app or role level, without having to edit each report individually. Any tips or step-by-step guidance would be appreciated.124Views0likes2CommentsAccess Issues
I have a 1 app - and 1 table. there are 5 users all the users have access to all the fields on the form on the table to view or edit the fields in the own record. So permission is view and modify all fields. and record level restriction is where owner is the logged in user. There is record level resctriction so user 1 cannot see user 2 records. i want to make a report where all the users can view all the records 5 particular fields. but cant view or modify the record of other users. However i want to create a visibility report to show all records from today to all the users but only a few limited fields. I have created the report, disable view and edit to the records and given all records access to the user. But the problem is if the user 1 will do advance search randomly, they can view all records from default search results. If I restrict that then no user will be able to open the records from the search which will be a blocker. how do i get past this ? if i restrict field level then they wont be able to enter or modify their own records as well. so cant do that. how to achieve this?Solved413Views0likes9Commentsexpose the User ID in a report
Jim! ToText(UserToId( [QB Username])) Is anyone using a QB Formula field to display the user id to users in a report? The User Id looks like this "51817980.d2k9" (I changed this to something madeup, apologies if its your id.) I have the admin console connected table and can sync the used id value to any app I want, which is my backup plan. Before I make that change I am checking to see if there is something I missed. Use case: We have users added to an App via a default role in a Group provisioned via SCIM. Some users may need to have an elevated Role other than the default Role. Currently the elevation is indicated by app data managers checking a box on a record. The check box indicates these users require an elevated role change. When users requiring access to the elevated role are indicated, someone has to compare the record in the table and the role in the users table and align or normalize the values ~ that someone also has to be knowledgeable about the process. I have found several Give Feedback where we have asked for the Role and linked them all together in hopes of clarity. If this is something you want too open Give Feedback and search for Role.Solved70Views0likes1Comment
