Is there a way to change the form used when sending a record via the Email button? Our data entry form is too busy so I would like to have a cleaner form sent via email

no problem.

If you have a second form and are displaying the record on the alternate form, then it will use the alternate form for the email.

To make a URL formula button to redisplay on a different form, the button would look like

URLRoot() & "db/" & dbid() & "a=dr&dfid=10&rid=" & totext([record ID#])



In the example above I'm redisplaying the form on form ID #10

When you create an email notification you have the opportunity select a Form for it to use when sending a Form in the email (you can create a custom email notification versus default, that will not send out a Form unless you want it to).

Select a custom form that you build with a cleaner layout.

Thank you for the reply, but I am still not sure how to "attach" a different form to the Email icon that appears in the default row on the top left when viewing any form or report. In between the Edit and More options. That is what I want to change, not the Notifications.  Thanks.

Did you try my suggestion?  Were you on the alternate form when you clicked the email button?  Do you have an alternate form set up?

Teresa - Mark is saying that you have to phsyically "switch" from the default Form to a custom-Form Layout before you click on the EMAIL button at the top of the Form.  You would need to build your "cleaner" form, and build a formula URL button which would easily allow your Users to switch to the custom form before emailing it out.

Hi Teresa, did you manage to do so? I'm a bit lost... Do you know if it's possible just to send the link to the form and not the form itself? Our forms are also supper messy when displayed in e-mail.

Polina, you can send a link to a particular form in an email Notification by building the link yourself.  For example if you made a URL formula field called [Link to record on my mini form] it might read like

URLRoot() & "db/" & dbid() & "?a=dr&dfid=10&rid=" & ToText([Record ID#])

That link would be to the record but display on Form ID #10.  You see the form ID# on the forms list and you would include the field in your email notification like

Hi Mark, sorry I must've explained badly. The link is already there. So if I click the "Email" button on top I'm proposed to send the form to the user, and there is a link at the bottom. Is it possible to customize the content of the message and delete the form being displayed there? I really don't want to create another form, as I have plenty of them, that can be used in e-mailing.

It appears that the form you are sitting on when you use the email envelope icon is the one that gets sent.  Unfortunately it also appears that the built in link does not lead to that form, but rather the default form.  All I can suggest is to make a mini form which does have a link to the form you want to use on it.  I don't believe anyone has found a way to pre-populate the message although there is a way to populate to To box in the email.
